Linklaters is a people business. Being best in class in the eyes of our clients means that our people must be exceptional.

We look not only for brilliant minds, but for people who will thrive in our environment: people who love working collaboratively and demonstrate the innovative, efficient, agile, entrepreneurial, and responsible mind-set we aim to bring to every interaction.

Ours is an environment of outperformance. We achieve this not with targets and incentives, but by fostering a positive, supportive, fair, and open atmosphere.

We respect and value difference but insist on inclusivity. We celebrate all aspects of diversity and challenge any form of bias. This is vital to our ability to work as one team, with a common goal.

About the role

We are looking for an experienced and highly organised Legal Secretary to provide high‑quality, proactive support to our Principals in London on a part‑time basis.

This role follows a regular part‑time working pattern of:

  • Every other Wednesday
  • Every Thursday
  • Every Friday

It offers a great opportunity for someone seeking high‑quality legal work alongside a consistent and predictable schedule.

As a Legal Secretary, you will play a key role in the smooth running of a busy legal practice. You will act as a trusted point of contact for Principals, clients and colleagues, managing a varied workload that spans diary management, document production, billing support and client administration. Working in a fast‑paced, professional environment, you’ll anticipate needs, stay one step ahead and help ensure matters are delivered efficiently and to a high standard.

You’ll be part of a collaborative secretarial community, working closely with other Legal Secretaries and business services teams, while maintaining a strong sense of ownership for your Principals and their work.

Key aspects of the role include:

  • Providing dedicated secretarial support to designated Principals
  • Managing complex diaries, meetings and conference calls, often across time zones
  • Proactively monitoring emails and acting as a gatekeeper where appropriate
  • Coordinating travel arrangements and preparing itineraries and documentation
  • Producing, amending and formatting legal documents, presentations and spreadsheets
  • Managing client information and confidential data with discretion and accuracy
  • Supporting billing and financial processes, including:
    • matter opening and engagement documentation
    • fee updates and reporting
    • monthly WIP reviews and coordination of bills
    • debtor follow‑up and payment monitoring
  • Acting as a professional point of contact for clients, internal teams and external suppliers
  • Supporting events, meetings and ad‑hoc projects as needed
What we're ideally looking for

We’re looking for a confident and experienced Legal Secretary who brings excellent organisational skills, sound judgement and a calm, professional approach to their work, and who is comfortable working part‑time to a fixed weekly pattern.

Ideally, you will have:

  • Substantial experience as a Legal Secretary, PA or Secretary in a legal or professional services environment
  • A proven ability to manage multiple priorities and conflicting deadlines
  • Strong diary management skills and attention to detail
  • Experience supporting billing processes and maintaining good financial hygiene
  • Confidence handling sensitive and confidential information

You are also likely to recognise yourself in the following:

  • Friendly, approachable and professional in your manner
  • Calm and resilient, particularly when under pressure
  • Proactive and organised, with a strong sense of ownership
  • An excellent communicator, comfortable dealing with senior stakeholders and clients
  • A team player who enjoys collaborating with colleagues while working independently
  • Commercially aware, with a good understanding of client service

From a systems and skills perspective, you will:

  • Be highly proficient in Microsoft Word, Excel, PowerPoint and Outlook
  • Have strong document formatting and typing skills
  • Be comfortable learning and using firmwide systems and tools
