Job description

Office Manager

Malvern | £35,000 | Term Time Only ( plus 2 Weeks in the Summer)

We are supporting our client who is looking for an exceptional Office Manager to become the organisational backbone of a specialist education support environment based in Malvern. This is a unique opportunity for a highly professional, confident and proactive individual who thrives on taking ownership, solving problems and keeping a busy organisation running smoothly. You will also be a welcoming presence on site for staff who will be coming and going from the office.

This isn't a role where you'll be handed a task list every morning. We're looking for someone who can identify what needs doing, prioritise effectively and take responsibility for seeing things through. You'll be a trusted support to the Directors, provide oversight to a small team and help create a professional, welcoming and well-organised environment for staff, students, families and external stakeholders.

Some key duties and responsibilities will include (but not be limited to):

  • Acting as the key administrative support to the Directors
  • Overseeing the day-to-day running of a busy office environment
  • Supporting, leading and coordinating a small team
  • Managing calendars, meetings, communications and organisational priorities
  • Maintaining accurate records, systems and documentation
  • Producing reports, letters, presentations and other business-critical documents
  • Ensuring compliance, confidentiality and excellent administrative standards at all times
  • Taking ownership of office systems and identifying improvements to processes and efficiency
  • Supporting HR, recruitment, record keeping and general office administration
  • Being the person who notices what needs doing and gets it done

In addition to the above, it is key that the successful candidate is comfortable embracing all additional duties and be equally comfortable supporting senior leadership, managing important administrative processes, as well as keeping the office environment presentable, including making sure there's milk in the fridge!

The ideal candidate will be:

  • Highly organised with exceptional attention to detail
  • Professional, discreet and able to handle highly confidential information
  • A self-starter who can work independently and use their own initiative
  • Comfortable taking ownership and accountability
  • Strong with systems, processes and technology
  • Confident managing multiple priorities simultaneously
  • An excellent communicator with strong written and verbal skills
  • Resilient, approachable and calm under pressure
  • Happy to be hands‑on and involved in all aspects of office management
  • A welcoming presence for staff and students who will be coming into the office

This is a fully office-based role and requires a consistent on-site presence. It is ideally suited to someone who enjoys being at the centre of an organisation, providing support, structure and stability to those around them.
