Job Summary
We are seeking a highly organised and initiative driven Office Manager to join the GRAHAM
team on a full-time permanent contract! Based in our Manchester office, the successful candidate will play a critical role in ensuring the smooth functioning of our office, whilst supporting multiple divisions and maintaining effective communication between departments, clients, and vendors. Job Description
The Office Manager shall:
· Provide clerical support to the office teams, including word processing, scanning, photocopying, binding / laminating documents and post duties.
· Take and record messages accurately.
· Ensure all visitors are greeted and assisted and checked in promptly, maintaining a professional and welcoming atmosphere.
· Set up meeting rooms ahead of schedule and provide refreshments. Occasionally liaise with external vendors to provide catering.
· Coordinate maintenance and repairs of office equipment and facilities, liaising with vendors and service providers.
· Maintain office supplies inventory, placing orders when needed.
· Deal with incoming and outgoing mail.
· Book and record travel arrangements, utilising external providers.
· Maintain and organise company records and documents, ensuring they are correctly archived and easily accessible. · Assist with production of reports and documents to an acceptable standard
· Provide sites with Pre-printed stationery such as On Hire/Off Hire Books; Please Receive Books; Local Purchase Order Books and record the numbering and allocation of site details and user details for Accounts team
· Provide sites with Pre-paid Postage Return Labels, as and when required
· Provide additional support to other office-based teams when requested.
This job description is intended to give the post holder an appreciation of the role envisaged for the Office Manager and the range of duties to be undertaken. It does not attempt to detail every activity. Specific tasks and objectives will be agreed with the post holder at regular intervals.

Essential
· Demonstrated experience as an Office Manager, ideally within a large, fast-paced organization.
· Clear understanding of office management responsibilities and procedures.
· Excellent communication and interpersonal skills to foster strong relationships across departments
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
· Ability to use initiative to identify and prioritise tasks
Desirable
· NVQ Administration Level 2 or equivalent.
· Experience of working in/with the Construction industry.
