Are you ready for an exhilarating and dynamic role? As the Office Services Manager, you'll be at the heart of our head office operations, ensuring everything runs seamlessly. You'll manage office maintenance, hardware setup, and equipment requests, while keeping a keen eye on stock and budget control. Your responsibilities will also include health and fire safety management and overseeing high-quality print room functions. Leading a team, you'll drive excellence through live audits, 1:1s, team meetings, and huddles, fostering collaboration and innovation.

While you will have a team to support you, this role is hands-on, requiring you to actively participate in daily operations. Key Responsibilities
- Oversee the daily operations of the head office to ensure a smooth and efficient work environment, while creating a fun and engaging workspace with perks.
- Manage office supplies and equipment, ensuring adequate stock levels and timely replenishment.
- Foster a modern workspace that encourages collaboration and creativity, organising seasonal office celebrations to boost team morale and create a positive atmosphere.
- Implement stock control procedures to minimise waste and optimise resource utilisation.
- Manage the onboarding process for new employees, including hardware setup and equipment allocation.
- Manage the offboarding process for departing employees, ensuring the return of company equipment, accurate and prompt disabling of access, and proper documentation.
- Manage hardware equipment requests, including ordering additional equipment, DES referrals, or replacing hardware that may be broken or due for renewal.
- Ensure all hardware is functioning correctly and troubleshoot any issues that arise, working alongside our IT Supplier.
- Monitor and control the budget of all stock, ensuring cost-effective purchasing, maintaining accurate records of inventory and budget expenditures.
- Implement and oversee Health and Safety policies, training, and procedures to ensure a safe and compliant working environment.
- Ensure compliance with fire safety regulations and standards, ensuring fire warden training is up to date.
- Ensure rigorous quality control of print room functions to maintain high standards of output, overseeing exam paper printing, as well as regulated and endorsed certificate printing and e-certificate system management.
- Emphasise a meticulously controlled print room environment with multiple quality checks and live auditing to guarantee certificates and exam papers are printed accurately, in accordance with expectations and SLAs.
- Manage inbound customer queries in line with SLA, customer orders, and certificate replacement requests.
Other Responsibilities
- Conduct regular audits of work, providing staff feedback, training, and coaching to ensure high quality control.
- Hold 1:1s with team members, setting high expectations, providing feedback and support.
- Organise and lead team meetings and huddles to ensure effective communication and collaboration.
- Collaborate with other managers and teams to streamline processes and take accountability of your own area.
- Provide MI and regular updates to the Head of Operational Services.
- Think of fun initiatives for a positive work and office atmosphere.
Key Requirements
- Previous line management experience is essential for this role.
- Experience in office management, stock control, and hardware setup is desirable.
- Excellent organisational and time management skills.
- Ability to manage budgets and control costs effectively.
- Strong communication and interpersonal skills.
- Problem-solving and decision-making abilities.
- Attention to detail and accuracy.
- Ability to work under pressure, give feedback, and meet deadlines.
