Willis Global in Basildon, Essex is recruiting an Ocean Freight Coordinator to join our Sea Freight Operations team. The role focuses on exporting Sea Freight activities, cross-trade support, and ensuring on-time execution of shipments within a collaborative environment.

You will work closely with the Head of Ocean to drive efficiency, accuracy in declarations, and customer satisfaction while maintaining SOPs and internal systems.

Qualifications

• Proven Sea Export Freight Forwarding experience.
• Excellent communication skills over telephone and email.
• Good understanding of logistics processes and procedures.
• Able to prioritise own workload and work as part of a team.

Responsibilities

• Assist Sea Freight Operations Team in daily duties and support Head of Ocean’s vision.
• Complete all Export and Cross Trade activities including financial, legal and invoicing transactions.
• Complete customs export declaration forms accurately.
• Ensure all operational activities are completed on time.
• Maintain and utilise the operational system at all times.
• Maintain regular communication with line manager and report new sales leads and handovers of shipments.
• Help maintain current SOPs for the department.
• Liaise with customers and inter-departmentally to provide updates and resolve issues.

Main Purpose of the Ocean Freight Coordinator:

Assist Sea Freight Operations Team in the execution of their daily duties & responsibilities and in support of the Head of Ocean’s vision for the company to become more competitive and profitable.

Duties and Responsibilities of the Ocean Freight Coordinator:

• Understand and execute the departments vision of good business development in order to successfully move Sea Freight products.
• Complete all Export and Cross Trade activities correctly and on time including financial, legal and invoicing transaction.
• Correctly complete all customs export declaration forms.
• Ensure all operational activities are completed on time.
• Immediately report any amendments to the customs declaration forms to line manager.
• Maintain and utilise the operational system at all times.
• Maintain regular communication with line manager, reporting new sales leads and handover of shipments.
• Assist in maintain current SOPs for the department.
• Maintain excellent customer and inter-departmental relationships at all times giving regular feedback to line manager.
• Follow up late customer payments in conjunction with credit control.
• Communicate quotations to the line manager/sales team and ensure all quotations are recorded on the system in one format.
• Implement and improve new efficiencies in customer workflow in conjunction with line manager.
• Accurately complete all invoicing for exports and clients within 48 hours of final activity.
• Ensure insurances are charged correctly and any insurance claims are handed to line manager without delay.

To be Considered for the Ocean Freight Coordinator:

• Proven Sea Export Freight Forwarding experience
• Be able to prioritise own workload but also be able to work as part of a team
• Be fully conversant in IT skills e.g., Microsoft Office Suite (Word, Excel) and systems with experience of Excel reporting
• Have excellent communication skills over the telephone and e-mail
• Have good understanding of logistics processes and procedure
