Job summary

Willis Global in Manchester is seeking an Ocean Freight Coordinator to support Sea Freight Operations and help drive competitive, profitable growth. The role focuses on executing export and cross-trade tasks, ensuring accurate invoicing, and maintaining robust customer communications.

You will manage customs declarations, maintain SOPs, and liaise with line management on new leads while upholding accurate system records and timely handovers between teams.

Qualifications

• Sea Export Freight Forwarding experience.
• Ability to prioritise own workload and work as part of a team.
• Strong IT skills with Word/Excel and Excel reporting.

Responsibilities

• Understand and execute the department's vision for growing Sea Freight business.
• Complete Export and Cross Trade activities including financial, legal and invoicing tasks.
• Accurately complete all customs export declarations.
• Ensure all operational activities are completed on time.
• Notify line manager of any amendments to customs forms promptly.
• Maintain and utilise the operational system at all times.
• Communicate with line manager on new leads and shipment handovers.
• Maintain SOPs for the department.
• Maintain customer and inter-department relationships with regular feedback.
• Follow up late payments with credit control.
• Record quotations in the system in a consistent format.
• Assist in implementing new efficiencies in customer workflows.
• Complete all exports invoicing within 48 hours of final activity.
• Ensure insurance charges are correct and claims are handled promptly.

Main Purpose of the Ocean Freight Coordinator:

Assist Sea Freight Operations Team in the execution of their daily duties & responsibilities and in support of the Head of Ocean’s vision for the company to become more competitive and profitable.

Duties and Responsibilities of the Ocean Freight Coordinator:

• Understand and execute the departments vision of good business development in order to successfully move Sea Freight products.
• Complete all Export and Cross Trade activities correctly and on time including financial, legal and invoicing transaction.
• Correctly complete all customs export declaration forms.
• Ensure all operational activities are completed on time.
• Immediately report any amendments to the customs declaration forms to line manager.
• Maintain and utilise the operational system at all times.
• Maintain regular communication with line manager, reporting new sales leads and handover of shipments.
• Assist in maintain current SOPs for the department.
• Maintain excellent customer and inter-departmental relationships at all times giving regular feedback to line manager.
• Follow up late customer payments in conjunction with credit control.
• Communicate quotations to the line manager/sales team and ensure all quotations are recorded on the system in one format.
• Implement and improve new efficiencies in customer workflow in conjunction with line manager.
• Accurately complete all invoicing for exports and clients within 48 hours of final activity.
• Ensure insurances are charged correctly and any insurance claims are handed to line manager without delay.

To be Considered for the Ocean Freight Coordinator:

• Proven Sea Export Freight Forwarding experience
• Be able to prioritise own workload but also be able to work as part of a team
• Be fully conversant in IT skills e.g., Microsoft Office Suite (Word, Excel) and systems with experience of Excel reporting
• Have excellent communication skills over the telephone and e-mail
• Have good understanding of logistics processes and procedure
