Job summary

Mitie is seeking a diligent planning and delivery coordinator to support the management/supervision team across the Sellafield estate. You will plan, schedule, and track PPM and reactive work in Archibus, while building strong relationships with clients and vendors to ensure contract performance.

The role involves reporting, administration, and proactive issue resolution, with responsibility for look aheads, WIP reviews, and timely invoicing. On-site presence at Sellafield is expected.

Qualifications

• Good knowledge of nuclear site operations and HSE practices.
• Practical experience using IT systems including Microsoft 365; able to run reports to identify trends.
• Dynamic, organized with strong communication for service delivery.

Responsibilities

• Support the management/supervision team in delivery of planning, asset care, reporting and general administration across the Sellafield estate.
• Build dynamic working relationships with key stakeholders to facilitate contract performance.
• Issue and allocate all PPM work orders, progress reporting, escalation and completion while maintaining service records.
• Plan/schedule/assign PPM and reactive work in Archibus to relevant teams or resources.
• Ensure PPM look aheads are assigned and scheduled within delivery windows.
• Prepare PPM outstanding reports and facilitate WIP review meetings to understand position and drive performance.
• Process PPM completions in real-time to provide reliable management data.
• Review PPM service records, processing completions and raising corrective work orders.
• Review Archibus asset changes and amendments to maintenance schedules and pass details to asset care team for processing.
• Facilitate real-time mitigation where delivery is unachievable for reasons outside Mitie control.
• Prepare and issue purchase orders as required.
• Ensure invoices are approved to pay in a timely manner to enable supplier payment and PO register maintenance.
• Take a proactive approach to day-to-day client and vendor queries and relay issues to management.
• Administrate and arrange meetings including agendas, minutes, WIP meetings.
• Undertake additional duties in line with capabilities as required.
