Responsibilities

• Raise job cards and update jobs accurately and promptly.
• Monitor system status reports to ensure jobs progress correctly.
• Record technician working times from clock cards.
• Monitor clocking system start times, breaks and finish times.
• Ensure required parts are available for scheduled work.
• Book parts accurately against the relevant jobs.
• Monitor and maintain stock levels.
• Liaise with customers regarding vehicle scheduling and completion times.
• Keep customers updated on additional work or authorisation requirements.
• Prepare and send estimates where required.
• Answer incoming calls and handle customer queries.
• Provide general administrative support to the night workshop team.
• Work closely with technicians and other departments to ensure smooth job progression.

Are you an organised and detail-focused Administrator looking for a well-paid permanent night shift position within the commercial vehicle industry?

We are currently recruiting for a Night Shift Service Administrator to join a busy 24/7 commercial vehicle operation. Working closely with the night shift technicians, you'll provide essential administrative and customer support to ensure the workshop runs efficiently throughout the night.

The Role

Your responsibilities will include:

• Raising job cards and updating jobs accurately and promptly
• Monitoring system status reports to ensure jobs are progressing correctly
• Recording technician working times from clock cards
• Monitoring the clocking system, including start times, breaks and finish times
• Ensuring required parts are available for scheduled work
• Booking parts accurately against the relevant jobs
• Monitoring and maintaining correct stock levels
• Liaising with customers regarding vehicle scheduling and completion times
• Keeping customers updated on additional work or authorisation requirements
• Preparing and sending estimates where required
• Answering incoming calls and dealing with customer queries professionally
• Providing general administrative support to the night workshop team
• Working closely with technicians and other departments to ensure smooth job progression

What We're Looking For

• Previous administration experience is advantageous
• Experience within automotive, HGV or commercial vehicle environments would be beneficial
