Job summary

Mech Electrics Limited is seeking a Project Document Controller for its Northwest operation in Manchester. The role focuses on taking genuine ownership of the document-control process across one or more major MEP projects, ensuring accuracy and timely information flow within a busy project team.

You will work with engineers, project managers, design teams, subcontractors and clients to ensure information is complete, correctly reviewed, and properly recorded for right-time access.

Qualifications

PROJECT DOCUMENT CONTROLLER - MEP CONSTRUCTION

Mech Electrics is working with a long-standing client to appoint an experienced Project Document Controller to its Northwest operation.

We have worked with this business for more than 15 years. It has an outstanding regional reputation, a technically accomplished workforce and a strong pipeline of complex construction projects.

The company’s project teams include high-quality engineering, project management, commercial, planning, design and operational professionals. The Document Controller will be an important part of that team—not simply an administrator working at its edge.

This appointment requires someone who already understands project document control and is prepared to take genuine ownership of the information process.

The successful person will maintain accuracy and compliance, but the role goes considerably further than receiving, filing and distributing documents. You will anticipate what the team needs, react quickly when information issues arise and use your initiative to help engineers and project managers keep the project moving.

THE ROLE

You will manage the flow of technical and project information across one or more major MEP projects.

Working closely with engineers, project managers, design teams, subcontractors, consultants and clients, you will ensure that information is complete, correctly reviewed, properly recorded and available to the right people at the right time.

Your responsibilities will include:

  • Establishing and maintaining effective document-control procedures from the beginning of a project
  • Managing drawings, specifications, technical submissions, RFIs, reports, schedules and project correspondence
  • Maintaining accurate document registers, workflows, revision histories and distribution records
  • Uploading, reviewing and distributing information through the project's common data environment
  • Ensuring documents follow the correct naming, numbering, status and revision protocols
  • Checking incoming information for completeness and identifying errors or inconsistencies
  • Managing review and approval workflows and monitoring information awaiting action
  • Proactively chasing overdue technical submissions, responses, approvals and revised information
  • Alerting engineers and project managers to missing information, approaching deadlines and potential delivery risks
  • Supporting the preparation and coordination of design reviews, technical meetings and project reports
  • Helping project teams locate the correct and current information quickly
  • Preventing superseded drawings and documents from remaining in circulation
  • Liaising with client, consultant, main-contractor and subcontractor document-control teams
  • Supporting procurement, installation, commissioning and handover information requirements
  • Coordinating operating and maintenance manuals, test certification, commissioning records and as-built information
  • Maintaining complete, auditable and well-organised project records through to final handover
  • Supporting less-experienced administrators or document-control colleagues where required
MORE THAN DOCUMENT ADMINISTRATION

The strongest Document Controllers do not wait to be told that something is missing.

They understand the project’s immediate priorities, recognise when an approval or revised drawing could affect procurement or installation and take sensible action to resolve the issue.

In this role, you will be expected to:

  • Take ownership of the document-control process
  • Understand which information is critical to the project team
  • Question information that appears incomplete, incorrectly coded or inconsistent
  • Follow issues through rather than simply passing them to somebody else
  • Prioritise urgent project requirements without losing overall control
  • Communicate confidently with engineers, managers, consultants and subcontractors
  • Suggest practical improvements to workflows, registers and reporting
  • Provide solutions when information does not move through the agreed process
  • Remain calm and organised when project priorities change
ABOUT YOU

You should already have experience as a Document Controller within construction, MEP, engineering or a comparable project environment.

Experience working for an MEP contractor would be beneficial, but strong document-control experience gained with a main contractor, specialist subcontractor, consultant or major construction project would also be highly relevant.

You are likely to have:

  • Previous responsibility for project document control
  • Experience managing drawings, RFIs, technical submissions and approval workflows
  • Working knowledge of a common data environment such as Viewpoint, Asite, Aconex, Autodesk Construction Cloud or similar
  • A clear understanding of revision control, document status and audit requirements
  • Excellent organisation and attention to detail
  • The confidence to pursue outstanding information and challenge incorrect processes
  • The judgement to recognise priorities and escalation genuine risks
  • Strong written and verbal communication skills
  • The ability to work independently while remaining closely connected to the project team
  • A proactive, responsive and solution-oriented approach
  • Good Microsoft Office skills, particularly Excel, Word and Outlook

Knowledge of ISO 19650 or BIM information-management principles would be advantageous, although practical project experience and the ability to take ownership will be more important than terminology alone.
