Job summary

Marie Curie Hospice Edinburgh and Glasgow is seeking an organised Administrator to provide clerical and office support across two sites. You will book meetings, prepare agendas, produce accurate minutes, and handle a range of delegated tasks within a compassionate team.

The role requires excellent communication, attention to detail and proficiency with Microsoft Office and MS Teams. Base is on-site with two Edinburgh/Glasgow locations, permanent part-time hours up to 24 per week.

Responsibilities

  • Organise meetings, prepare agendas, take accurate minutes and maintain action logs
  • Photocopying, proofreading, scanning, filing and document collation
  • Draft basic correspondence for internal and external contacts
  • Maintain confidentiality and log referrals, discharges, and clinic lists
  • Answer calls and direct enquiries; use MS Teams and Office apps for communication
  • Arrange travel and accommodation bookings; manage mail
  • Use clinical records systems for logging referrals and appointments

We are looking for a highly organised and proactiveAdministratorsto join our dedicatedScotland Administrationteam atMarie Curie Hospice Edinburghand Glasgow.In this vital role, you will provide comprehensive clerical and office support to the place-based team, helping to ensure the smooth running of day-to-day operations.You’llplay a key part in supporting managers by booking meetings, preparing agendas, producingaccurateminutes, and handling a range of delegated administrative tasks. With excellent communication skills and a keen eye for detail,you’lldeliver a high standard of service to both internal colleagues and external contacts. What you will be doing:

  • Support managers and leaders by organising meetings, preparing agendas, takingaccurateminutes, andmaintainingaction logs
  • Deliver a range of administrative tasks including photocopying, proofreading, scanning, filing, and document collation
  • Draft basic correspondence for internal and external contacts, ensuring clarity and professionalism
  • Maintain confidentiality while supporting day-to-day service operations, including data entry into IT systems
  • Answer incoming calls and manage external enquiries professionally, ensuring they are directed appropriately and handled efficiently
  • Use Microsoft Office applications and MS Teams regularly to support communication and workflow
  • Manage incoming and outgoing mail, and arrange travel and accommodation bookings asrequired
  • Use clinical record systems to log referrals, discharges, andmaintainclinic lists and appointments

Salary: Marie Curie Clinical Pay Scale Band2 £26,696 to £28,988 pro rata
