Job summary

Marie Curie Hospice Glasgow is seeking a highly organised Administrators to join the Scotland Administration team. You will provide clerical support, book meetings, prepare agendas and minutes, and handle delegated tasks to ensure smooth day-to-day operations.

You will work with a compassionate team, delivering high-standard service to internal colleagues and external contacts while supporting the delivery of outstanding care. This is a permanent part-time role.

Qualifications

  • Experience in administrative or customer-facing roles.
  • Accurate minute-taking and meeting support.
  • Proficient with Microsoft Office and MS Teams.
  • Excellent communication and teamwork.
  • Strong organisational skills and attention to detail.

Responsibilities

  • Organise meetings, prepare agendas, take minutes, and maintain action logs.
  • Photocopying, proofreading, scanning, filing, and document collation.
  • Draft basic correspondence for internal and external contacts.
  • Data entry in IT systems and maintain confidentiality.
  • Answer calls and manage external enquiries professionally.
  • Use MS Office and MS Teams to support workflow.
  • Arrange travel and accommodation as required.
  • Log referrals, discharges, and maintain clinic lists and appointments.

Job description

We are looking for a highly organised and proactive Administrators to join our dedicated Scotland Administration team at Marie Curie Hospice in Glasgow. In this vital role, you will provide comprehensive clerical and office support to the place-based team, helping to ensure the smooth running of day-to-day operations. You’ll play a key part in supporting managers by booking meetings, preparing agendas, producing accurate minutes, and handling a range of delegated administrative tasks.

With excellent communication skills and a keen eye for detail, you’ll deliver a high standard of service to both internal colleagues and external contacts. This is a fantastic opportunity to contribute to a compassionate and professional environment, supporting the delivery of outstanding care.

What you will be doing:
  • Support managers and leaders by organising meetings, preparing agendas, taking accurate minutes, and maintaining action logs
  • Deliver a range of administrative tasks including photocopying, proofreading, scanning, filing, and document collation
  • Draft basic correspondence for internal and external contacts, ensuring clarity and professionalism
  • Maintain confidentiality while supporting day-to-day service operations, including data entry into IT systems
  • Answer incoming calls and manage external enquiries professionally, ensuring they are directed appropriately and handled efficiently
  • Use Microsoft Office applications and MS Teams regularly to support communication and workflow
  • Manage incoming and outgoing mail, and arrange travel and accommodation bookings as required
  • Use clinical record systems to log referrals, discharges, and maintain clinic lists and appointments
What we’re looking for:
  • Experience working in an administrative role or within a customer-facing environment
  • Up-to-date knowledge of administrative procedures, including accurate minute-taking and meeting support
  • Proficient in Microsoft Office applications and confident using wider systems to support service delivery
  • Excellent communication skills with a collaborative approach to working within a team
  • A flexible and adaptable attitude, with the ability to respond to changing service needs
  • Strong organisational skills and attention to detail, with a proactive and professional mindset
What’s in it for me?
Salary: Marie Curie Clinical Pay Scale Band 2 £26,696 to £28,988 pro rata
Contract: x2 Permanent Part Time positions available hours up to 24 hours per week
Base: on site at Marie Curie Hospice Edinburgh and MArie Curie Hospice Glasgow
