Key Responsibilities
- Greeting clients and visitors in a professional and welcoming manner.
- Managing incoming calls and directing enquiries to the appropriate department.
- Handling client correspondence via telephone, email, and post.
- Scheduling appointments, meetings, and conference room bookings.
- Opening and closing client files and maintaining accurate records.
- Scanning, filing, and document management.
- Assisting with the preparation of legal documents and correspondence.
- Managing incoming and outgoing mail.
- Maintaining reception and meeting room areas to a high standard.
- Processing payments and handling basic billing administration.
- Supporting solicitors, Legal Secretaries, and Paralegals with administrative tasks.
- Ensuring confidentiality and compliance with data protection requirements.
Skills & Experience
- Previous experience in a reception, administration, or customer service role.
- Experience within a legal or professional services environment is desirable.
- Excellent communication and interpersonal skills.
- Strong organisational skills with the ability to manage multiple priorities.
- Professional telephone manner and client-focused approach.
- High level of accuracy and attention to detail.
- Proficient in Microsoft Office, including Word, Outlook, and Excel.
