Job summary

Willen Hospice is seeking an organised Individual Giving and Office Support Coordinator in Milton Keynes. You’ll provide accurate administrative support for the Individual Giving activity, including campaigns and stewardship, while also delivering efficient office support across Fundraising.

You’ll handle enquiries warmly, manage data in the CRM, and help keep information and meetings running smoothly. A proactive, caring approach is essential for supporters and colleagues alike.

Qualifications

  • Warm, highly organised administrator with supporter-focused approach.
  • Reliable, accurate and able to manage multiple tasks and deadlines.
  • Experience in charity sector or CRM systems is desirable but not essential.

Responsibilities

  • Provide administrative support for Individual Giving campaigns and income processes.
  • Respond to supporter enquiries warmly and professionally, escalating complex matters as needed.
  • Process supporter details, preferences and Gift Aid within approved procedures.
  • Enter and check supporter and campaign data in the CRM; produce routine reports and trackers.
  • Coordinate fundraising meetings and team activities, including papers and actions.
  • Maintain shared folders, SharePoint sites and Teams channels with proper naming and archiving.

Job Summary

We’relooking for a warm, highly organised administrator to join Willen Hospice as our Individual Giving & Office Support Coordinator. Working within our Strategic Fundraising & Partnerships team,you’llprovideaccurate, supporter-focused administration for our Individual Giving activity, including campaigns,stewardshipand income-related processes.

Alongside this,you’llprovide coordinated office support across Fundraising, helping colleagues manage information, meetings,systemsand routine administration efficiently – keeping everything running smoothly behind the scenes.

Whatyou’lldo:

  • Provide administrative support for agreed Individual Giving activity, including campaigns,stewardshipand income-related processes.

  • Respond to routine supporter enquiries warmly and professionally, escalating sensitive or complex matters where needed.

  • Process supporter details, preferences, regulargiftsand Gift Aid information accurately within authorised procedures.

  • Enter, update and check supporter and campaign information on the CRM, and produce routine reports,trackersand summaries.

  • Provide day-to-day administrative support across Fundraising, including correspondence, documents,trackersand routine queries.

  • Coordinate meetings and team activities, including invitations, arrangements, agendas,papersand actions.

  • Maintain shared folders, SharePoint sites and Teams channels using agreed naming,permissionsand archiving arrangements.

We’relooking for someone who is:

  • A clear andaccuratecommunicator, able to provide warm, professional supporter care and adapt to different audiences.

  • An experienced administratorwho isconfident using Microsoft 365, particularly Outlook, Word, Excel,Teamsand SharePoint.

  • Able to manage competing tasks,maintaintrackers and schedules, and meet deadlines.

Experience in fundraising, the charity sector or with CRM systems is desirable but not essential – just as important is your reliability, attention to detail and genuine care for the peopleyou’llbe supporting.
