The University of Southampton Malaysia is seeking a HR Transactions Administration Assistant to provide essential HR administrative support. This full-time role involves managing data input and documentation, ensuring high-quality service delivery. We have an exciting opportunity available within Human Resources for a HR Transactions Administration Assistant to provide high-quality HR administrative support for all University staff and casual workers.
The role is available on a full-time (36 hours per week), permanent basis.
This position is ideal for individuals interested in starting a career in HR, with opportunities for progression for those who wish to develop within the field.
You will deliver high-quality, timely, and customer-focused administrative support, essential for the team to provide an efficient and effective service to the University.
Your responsibilities will include making effective and accurate use of the HR/Payroll system (Resourcelink), the visitor database (IDM), and the University’s ticket system (ServiceNow) to input data, revise records, and produce contractual and other documentation within defined quality standards and service level agreements. Tasks include setting up casual workers and visitors, producing employment references, among others.

You will be well-organized, enjoy working within a busy and varied team, have good attention to detail, and be capable of working under pressure. Previous administration experience is advantageous, but motivated individuals eager to learn new skills and systems are also encouraged to apply.
You should have excellent communication and organizational skills, strive to provide outstanding customer service, and be proficient in Microsoft Office applications.
Our HR department operates across Highfield Campus and One Guildhall Square, with your main work location at One Guildhall Square. Both sites are accessible via public transport and are close to amenities such as restaurants, coffee shops, and a University gym.
There is an option for flexible remote working, with a requirement to be in the office at least once a week.
