Job summary

Poole Bay Holdings Management Ltd is seeking an HR Assistant to support the HR Generalist in delivering a high-quality HR service across the employee lifecycle. The role involves HR and recruitment support, data management, and collaboration with directors and managers.

The position is based in Poole with hybrid working from home after successful training, 37.5 hours per week, Monday to Friday 9:00–17:00. Salary £26,500–£30,000 per year. Deadline 30 October 2026.

Qualifications

  • CIPD Level 3 or equivalent HR administration experience is essential.
  • Strong HR and recruitment admin skills with attention to detail.
  • Interpersonal skills and ability to work with internal and external partners.
  • Ability to manage a busy workload and meet deadlines.
  • Proficiency with MS Office, especially Excel.
  • Knowledge of UK GDPR and confidentiality.
  • Experience with HRIS or ATS is desirable.

Responsibilities

Description

Location: Poole, Dorset (hybrid working from home after successful training)

Hours: 37.5 per week

Working pattern: Monday - Friday 9:00 until 17:00

Main Purpose

The HR Assistant will support the HR Generalist in delivering a high-quality HR service across the employee lifecycle, contributing to the implementation of the HR strategy, operational excellence, and legal compliance.

The role will provide HR and recruitment support, whilst driving efficiency through the effective use and continuous development of HR systems and processes. The role holder will be liaising with the Board of Directors, line managers, employees, external recruitment agencies and job applicants.


Duties and Responsibilities
HR Administration
  • Maintaining accurate and up-to-date employee records.
  • Managing HR systems/databases and ensuring data accuracy.
  • Preparing HR letters and documents (e.g. employment confirmations, changes to terms).
  • Supporting with payroll data collation where required (e.g. working hours, absences, new starters/leavers).
  • Assisting with HR-related queries from employees when required.
  • Monitoring our HR Helpdesk ticketing system and responding to queries where possible.
  • Generating and manipulating reports on HR metrics to support the HR Generalist or other departments as and when required.
  • Supporting employee relations cases and, where required, taking notes in meetings.
  • Handling administration for all stages of the employee lifecycle, from starters to leavers.
Recruitment and Onboarding
  • Ensure the internal recruitment process is followed.
  • Supporting the development of key documents and processes such as job descriptions, person specifications, job advertisements and placing of adverts on internal and external job boards.
  • Liaising and coordinating with external recruitment agencies when required.
  • Responding to queries from managers, potential applicants and new starters inside and outside of the applicant tracking system.
  • Supporting the interview process, including scheduling interviews in Pinpoint and coordinating with hiring managers.
  • Undertaking all pre-employment checks against agreed standards including carrying out UK right to work checks.
  • Ensuring recruitment processes are compliant with internal policies and legal requirements.
  • Coordinating new hire onboarding (e.g. collecting documents, setting up accounts, scheduling inductions).
  • Maintaining contact with new hires throughout the onboarding process.
  • Creating and maintaining employee files.
  • Adding all new starters to required internal systems, ensuring all data is input accurately.
  • Preparing offer letters and employment contracts.
General Support
  • Assisting with training coordination and maintaining training records.
  • Maintaining confidentiality and handling sensitive information appropriately.
  • Drafting letters and other documentation, as required by the HR Generalist.
  • Supporting the offboarding process including final documentation and closing accounts.
  • Assisting with and carrying out HR projects including various audits.
  • Undertake the full range of general administrative duties, including scanning, filing and photocopying.
  • Contributing to HR initiatives aimed at improving employee engagement and communication.
  • Any other duties as reasonably required within the scope of this role.

Qualifications
