Job summary

KandD Recruitment is looking for a Hire Desk Controller for a busy tool and plant hire business. You will manage the hire desk, handle enquiries, coordinate deliveries and work with the workshop to keep operations running smoothly.

The ideal candidate has tool or plant hire experience, knowledge of Syrinx, strong customer service and IT skills, plus a UK manual driving licence. The role is full-time and permanent with a salary from £46,080.

Qualifications

Responsibilities

• Handle hire enquiries and orders by phone, email, WhatsApp and face to face
• Prepare hire contracts and paperwork
• Coordinate deliveries and collections with drivers
• Liaise with workshop to ensure equipment is ready on time
• Manage off-hires, stock transfers and purchase orders
• Maximise hire and consumable sales
• Maintain fleet availability and utilisation
• Build and maintain customer relationships
• Provide excellent customer service throughout the hire process
• Assist customers with loading/unloading when required
• Ensure hire desk administration is accurate
• Support wider team with day-to-day operations

Hire Desk Controller

Salary:From£46,080 + per year, depending on experience
Hours:6:00am - 5:00pm, Monday to Friday
Saturdays:6:00am - 1:00pm, two Saturdays per month

About the Role

A busy and growing tool and plant hire business is seeking an experiencedHire Desk Controllerto join its team and play a key role in keeping customers, equipment and daily operations running smoothly.

The successful candidate will be responsible for managing the hire desk, handling customer enquiries, coordinating deliveries and collections, and working closely with the workshop and wider team to ensure a reliable and efficient service.

This is an excellent opportunity for an experienced hire desk professional who understands the tool and plant hire industry, enjoys working in a fast‑paced environment and takes pride in delivering a high level of customer service.

Key Responsibilities

The Hire Desk Controller will take ownership of the hire desk and ensure each hire is managed efficiently from initial enquiry through to off‑hire.

Key responsibilities will include:

• Handling hire enquiries and orders byphone, email, WhatsApp and face to face
• Preparing hire contracts and associated paperwork
• Coordinating deliveries and collections with drivers
• Liaising with the workshop to ensure equipment is prepared and ready on time
• Managingoff‑hires, stock transfers and purchase orders
• Maximising hire and consumable sales
• Maintaining strong fleet availability and utilisation
• Building and maintaining positive customer relationships
• Providing excellent customer service throughout the hire process
• Assisting customers with loading and unloading when required
• Ensuring all hire desk administration is accurate and up to date
• Supporting the wider team with the smooth day-to-day running of the hire operation

The Ideal Candidate

The successful candidate will have previous experience within the tool or plant hire industry and be confident working in a busy hire desk environment.

• Previous experience withintool or plant hire
• Good working knowledge ofSyrinx
• Strong communication and customer service skills
• Good IT skills and excellent attention to detail
• Ability to remain organised and work effectively under pressure
• Honest, reliable and proactive approach
• FullUK manual driving licence
• Physically able to occasionally assist with loading and unloading
