Job summary

Light & Wonder in the United Kingdom is seeking an Order Management Specialist to guide orders from quote to production, shipping and delivery. You’ll work closely with Sales, customers and internal teams to keep orders moving and ensure accuracy.

You will need excellent attention to detail, strong communication across functions, and a proactive approach to solving problems. Experience with MS Office or Smartsheet is a plus.

Qualifications

• Background in order management, sales operations, commercial coordination or project coordination.
• Excellent attention to detail with orders, contracts and documentation.
• Strong communication across teams and stakeholders.
• Experience coordinating multi-party projects and timelines.

Responsibilities

• Support Sales and customers from quote through delivery.
• Prepare quotes, contracts, amendments and supporting docs.
• Coordinate product and contract changes with Account Managers.
• Check order docs for accuracy and release to production on time.
• Track orders and milestones, escalate risks affecting timelines.
• Maintain contract, sales-order and pipeline trackers.
• Collaborate with Sales, Compliance, Finance, Legal, Production, Shipping and Field Service.
• Coordinate shipping docs and monitor orders through to delivery.
• Check payment status and assist with billing inquiries.
• Manage machine-movement tracking and related orders in Smartsheet.
• Communicate updates to customers during order meetings.
• Maintain documentation for internal and external audits.
• Set up new customer venues/sites from approval to readiness.
• Keep customer site records accurate and up to date.
• Identify opportunities to simplify and improve order-management processes.
