Job summary

Fanatics Collectibles is seeking a detail‑oriented Order Management Associate to support our growing international operations. This role ensures smooth, accurate order flow across B2B and B2C channels, coordinating with our 3PL partner and internal teams to monitor daily execution and resolve exceptions.

You will handle data across D365, Trello, and WMS, prioritise urgent orders, and contribute to process improvements to deliver a best‑in‑class customer experience.

Qualifications

• Experience in order management, logistics coordination, or supply chain support.
• Strong attention to detail, organized and reliable under pressure.
• Comfortable using multiple systems: OMS, WMS, D365, Excel, and collaboration tools like Trello and Slack.
• Team player who thrives in cross-functional collaboration—especially with fulfilment, customer service, and commercial teams.
• Fluent in English (spoken and written); Italian or German a plus depending on location.
• Customer-first mindset with a bias for action and problem solving.

Responsibilities

• Order Processing: Ensure timely and accurate processing of B2B and B2C orders via our Order Management System, coordinating with 3PL and internal stakeholders.
• Exception Handling: Monitor system and operational exceptions, proactively flag and resolve with internal and external teams.
• Data Accuracy: Review and validate order data across D365, Trello, and WMS platforms for fulfilment alignment and shipments.
• Prioritization: Identify urgent or complex orders to meet customer expectations, including promos and high-profile shipments.
• Inventory Coordination: Work with Fulfilment & Returns Manager and 3PL to manage stock against open orders.
• Returns Support: Liaise with Customer Service and 3PL to ensure timely processing of returns and credits.
• Reporting: Prepare daily/weekly order flow and dashboards; support audits and performance reviews with data.
• Process Improvement: Propose updates to improve accuracy, speed, and system integration across platforms.
