Job summary

Aztec Group is seeking an experienced administrator to manage a portfolio of fund structures. You will oversee AML/KYC checks, onboarding, investor servicing, and coordination with legal and tax advisors to ensure timely financial reporting.

The role requires a professional qualification and prior financial services experience, with responsibilities including signing off on administration matters and supervising staff development. Hybrid working options are available.

Qualifications

• Proven financial services experience is required.
• Some people management experience is preferred.
• Act as a B level Authorised Signatory on administration matters.

Responsibilities

• Act as first point of contact for administrative matters for a number of fund structures within a team.
• Manage onboarding and subscription processes for investments into underlying private equity and alternative funds, including AML/KYC compliance, legal documentation review, and stakeholder coordination through to execution.
• Lead Luxembourg transfer agency operations, ensuring accurate processing of investor transactions, maintenance of shareholder registers, AML/KYC requirements, and delivery of high-quality investor services while complying with regulatory standards.
• Coordinate with legal, tax and other professional advisers; attend and minute client board and shareholders meetings.
• Ensure preparation, review, distribution and filing of periodic financial statements on time and in accordance with regulatory guidelines.
• Act as B level signatory on administration matters, ensuring policy and professional/regulatory guidelines are followed; provide professional service to clients and external contacts.
• Assist with billing information for clients including analysis of time spent and aged debtors; supervise and assist in staff training and development; participate in appraisal process.
