Frailty Team Administrator

This role involves working closely with the Frailty team as an administrator for all aspects of the Frailty service.

We are looking for someone who is adaptable, approachable, excellent at communication and able to adjust to the changing demands and situations of the team.

Successful candidates will carry out administrative duties such as filing, answering telephones and producing documents using Microsoft Office applications.

The role will involve patient contact and visiting clinical areas. Excellent communication skills are required to maintain links within the trust and partner organisations.

Main duties of the job
  • Ensure confidentiality is maintained at all times.
  • Provide general office and administrative support to the department.
  • Greet visitors / customers professionally and respond to enquiries efficiently.
  • Perform general office duties such as data entry, photocopying, laminating, scanning and shredding.
  • Maintain accurate, timely and legible records.
  • Attend team meetings and regular reviews with line manager(s).
  • Maintain the filing system, including e‑filing; arrange general meetings; handle incoming/outgoing mail and email distribution.
  • Input/extract data using relevant electronic software and generate basic evaluation reports.
  • Support clinical areas with general administration duties and facilitate safe and timely discharges by booking transport and liaising with community teams and patient carers / relatives.

Person Specification
QUALIFICATIONS / TRAINING
  • GCSE English and Maths grade A*‑C/9‑4 or equivalent.
  • NVQ Level 2 in Business Administration.
  • Ability to take and transcribe minutes and other correspondence.
KNOWLEDGE, EXPERIENCE & EXPERTISE
  • Proven, relevant experience as an administrator in a busy office environment.
  • Knowledge of the Data Protection Act & confidentiality requirements.
  • Experience working in an NHS setting.
  • Experience using Microsoft Office – Word, Excel spreadsheets, Outlook.
  • Ability to work independently, make decisions within written guidelines, and prioritise workload.
  • Highly motivated, with strong communication skills at all levels, tact and diplomacy.
  • Ability to work under pressure while maintaining accuracy and meeting deadlines.
  • Team working skills and ability to adapt to changing work patterns.
  • Excellent computer skills with knowledge of Word and Excel.
COMMUNICATION AND RELATIONSHIPS (INCLUDING MANAGEMENT RESPONSIBILITIES)
  • Ability to work in various locations throughout the network of services provided by Calderdale and Huddersfield NHS Foundation Trust.
