Job summary

HIVED in London is seeking a Fleet Associate - Admin to keep our electric vehicle operations compliant and well-documented. You will safeguard records, manage insurance claims, handle PCNs, and ensure accurate cost tracking across the fleet.

You will maintain a zero-error digital archive, coordinate onboarding/offboarding of vehicles, and respond to drivers, partners, and authorities with clear, professional communication.

Qualifications

• You keep a clean inbox and perfectly updated spreadsheets, spotting details others miss.
• You write clear, professional emails to councils and drivers regarding fines or damages.
• You manage high volumes of repetitive tasks with accuracy and focus.
• You learn internal databases and fleet software quickly.

Responsibilities

• Penalty Charge Notice (PCN) management: identify drivers and raise recoup charges; ensure timely appeals/payments.
• Insurance claims administration: coordinate end-to-end process, gather evidence, and track to closure.
• Vehicle compliance & documentation: maintain zero-error digital archive for V5Cs, MOTs, insurance, invoices.
• Fleet onboarding & offboarding: manage admin for adding/removing vehicles and hardware/documents.
• Communication & inbox management: respond professionally to drivers, partners and local authorities.
