Job summary

Culina Group Limited is looking for a Fleet Administration Manager to lead the fleet admin and maintenance function within the Fleet team. You will drive processes, ensure legal compliance and deliver strong customer service across the operation.

The role requires supervisory experience in transport, with a focus on budgeting and KPI delivery. Monday–Friday, 08:00–17:00, in a dynamic nationwide logistics environment.

Qualifications

• Strong knowledge of Microsoft Excel and Outlook with high attention to detail.
• Supervisory experience in a transport environment preferred.
• Good budget awareness and transport compliance understanding.
• Excellent communicator with coaching and development skills.

Responsibilities

• Lead the fleet admin team to ensure service and maintenance complies with legal requirements.
• Manage invoiced revenue including weekly and monthly invoicing.
• Act as escalation point to communicate with dealers, repair networks and planning team.
• Ensure high levels of customer service and professionalism.
• Maintain weekly and monthly KPI reporting for fleet operations.
• Oversee staff rota for Fleet Helpdesk 24/7 coverage.
• Liaise on insurance claims and data gathering for UR/ULR claims.
• Develop the team through performance management and objective setting.
• Recruit, coach and train to cover holidays and absences.

As part of our, Transport Logistics division, we have an exciting opportunity to join the team as a Fleet Administration Manager.

Salary: Up to £45,000 per annum, depending on experience

Shift: Monday-Friday, 08:00-17:00

As the Fleet Administration Manager, you will be responsible for managing and developing the fleet admin and maintenance function within the fleet team, as well as ensuring department objectives are achieved through a positive working environment and flexible approach.

Key Duties of a Fleet Administration Manager

• Managing the team to ensure all fleet service and maintenance processes are operates within legal compliance.
• Managing invoiced revenue including weekly and monthly miscellaneous invoicing.
• Acting as the point of escalation for the team, communicating with key personnel, including dealer and repair networks and Planning Team.
• Ensuring the team deliver a high level of customer service and professionalism at all times.
• Ensuring fleet and business KPI’s are met, maintained and improved through the management of team objectives.
• Managing the staff rota to cover the Fleet Helpdesk 24 hours a day, 7 days a week.
• Acting as liaison for insurance claims, gathering invoices for ULR claims and working with wider ops teams to establish full details in a timely manner.
• Maintaining weekly and monthly reporting of KPIs within fleet and the wider business.
• Developing the team through a structured process of performance management, providing and reviewing objectives for your team and individuals.
• Managing personnel issues on a day to day basis including: Recruitment, Coaching and Training, ensuring cover for holiday and absence and dealing promptly with disciplinary issues using the company procedure.

Qualifications

What you’ll need ...

• Strong knowledge of Microsoft packages including Excel and Outlook with high attention to detail.
• Previous supervisory experience within a transport environment desirable.
• A solid understanding of budgets with a good understanding of transport compliance.
• Excellent communicator with effective coaching and development skills.
• Capable of operating with limited supervision within fixed guidelines
