Overview
We currently have an exciting opportunity to join our Personal Wealth Business as a Financial Advice Administrator on a full‑time basis in either our Glasgow or Edinburgh office.
Responsibilities
- Provide an efficient administration service for Financial Advisers; assisting the Advisers in the procurement and processing of new business and the servicing of existing clients.
- Work closely with the financial adviser and paraplanner to ensure a high standard of advice and service to clients.
- Work closely with the provider admin to ensure they have the information required to communicate and liaise effectively with external product providers to obtain policy‑specific information and to ensure business is completed within SLAs.
- Populate and maintain client records within our IO database.
- Produce all relevant paperwork for the client, on behalf of the Adviser, including quotations, illustrations and valuations.
- Process all new business documentation in accordance with the agreed service and quality standards.
- Deal with basic queries from clients, Advisers or colleagues, taking the appropriate action to ensure the query is dealt with in a timely and effective manner.
- Provide professional customer service to new and existing clients via telephone, email and face‑to‑face when required.
- Process and scan post.
- Working pattern: Flexible hybrid – initially one day per week in the Glasgow office and four days from home, potentially reducing to one‑two office days per month once settled.
Qualifications
- Have experience within an IFA/Financial Planning firm.
- Be experienced in dealing with product providers regarding a range of pensions and investments.
- Be integral to seeing business through from the start to the end of the process, which may also involve dealing with clients.
- Good working knowledge of the IO database is preferred.
- Sound knowledge of Microsoft Word, Excel and PowerPoint; thorough, with a high degree of accuracy.
- Excellent attention to detail.
- Able to multi‑task and prioritise effectively.
- Excellent communication skills.
- High level of organisational skills.
- Team player with a hands‑on motivational approach.
