Job summary

Rotherham Metropolitan Borough Council is seeking a capable Facilities Services Assistant to join the Facilities Services team. The role focuses on providing comprehensive administrative support, handling data across multiple systems, and assisting with recruitment and helpdesk duties.

The post is temporary (initially 6 months), full-time (37 hours), with hybrid working arrangements after an initial training period.

Qualifications

Responsibilities

  • Providing comprehensive administrative support across Facilities Services.
  • Inputting, maintaining and updating data across systems and databases.
  • Supporting the administration of employee absence management processes.
  • Assisting with recruitment administration, including arranging interviews and records.
  • Providing support to the Facilities Helpdesk and directing requests.
  • Handling telephone, email and face-to-face enquiries professionally.
  • Processing orders, service requests and invoices.
  • Producing letters, reports and correspondence using Microsoft Office applications.
  • Maintaining accurate records in line with data protection and audit requirements.
  • Managing incoming and outgoing post and general office duties.
  • Building positive relationships with colleagues, customers and external stakeholders.

An exciting opportunity has arisen for a Facilities Services Assistant to join Rotherham Council's Facilities Services team. This is a fantastic opportunity for someone with strong administrative, customer service and IT skills who enjoys working in a fast-paced environment and takes pride in providing high-quality support.

As a Facilities Services Administrator, you will play an important role in supporting the day-to-day operation of the service, ensuring that administrative processes are delivered efficiently and accurately. You will work closely with colleagues, customers, contractors and stakeholders across a range of service areas, helping to ensure the smooth running of essential council services.

What You'll Be Doing
  • Providing comprehensive administrative support across Facilities Services.
  • Inputting, maintaining and updating data across a range of systems and databases.
  • Supporting the administration of employee absence management processes.
  • Assisting with recruitment administration, including arranging interviews, processing documentation and maintaining recruitment records.
  • Providing support to the Facilities Helpdesk, responding to enquiries and directing requests appropriately.
  • Handling telephone, email and face-to-face enquiries in a professional and customer-focused manner.
  • Processing orders, service requests, invoices and other administrative documentation.
  • Producing letters, reports, spreadsheets and correspondence using Microsoft Office applications.
  • Maintaining accurate records in line with data protection, financial and audit requirements.
  • Managing incoming and outgoing post and undertaking general office administration duties.
  • Building positive working relationships with colleagues, customers and external stakeholders.
