Executive Assistant to the Director — Find Your Feet CIC
Location:Hybrid (Remote + London-based meetings/events as needed)
Hours:3-5 days per week (Full day's from 10 AM to 5 PM Monday, Wednesday & Thursday)
Pay: £18 - £22 per hour

We are looking for an exceptionalExecutive Assistant (EA)to support our Director as we scale our impact. This is a key role offering the chance to work at the heart of an ambitious, values-driven organisation making a real difference.
Role Purpose
To provide high-level executive support to the Director, enabling them to focus on strategic leadership, programme innovation, partnerships, and funding growth. The EA will be the Director’s right hand, ensuring smooth operations across projects, managing priorities, and maintaining a high standard of communication and organisation.
Key Responsibilities
1. Executive Support & Diary Management
- Manage the Director’s complex calendar across multiple projects, meetings, funders, and partners.
- Prioritise and coordinate meetings, calls, events, and deadlines.
- Prepare Director’s briefings, agendas, and talking points for meetings.
- Draft, proofread, and send high-quality emails, letters, and communications on behalf of the Director.
- Manage follow-ups, ensuring actions from meetings are tracked and completed.
2. Project & Task Management
- Oversee and help track project timelines, deliverables, and deadlines.
- Liaise with programme coordinators, designers, trainers, and external partners to keep work moving.
- Set up and maintain project management tools (e.g., Asana, Trello) for visibility on tasks and priorities.
- Flag bottlenecks or risks early and propose solutions.
3. Funding & Partnerships Support
- Support preparation of funding bids, reports, and proposals.
- Coordinate with funders, sponsors, and collaborators to schedule check-ins and submit reports on time.
- Help gather project evidence, case studies, and success stories for bids and communications.
4. Communications & Stakeholder Management
- Act as the first point of contact for key stakeholders when the Director is unavailable.
- Maintain positive, professional relationships with funders, community partners, and collaborators.
- Draft or coordinate newsletters, reports, and board updates alongside the Director.
5. Administrative & Organisational Support
- Manage filing, document management, and data organisation.
- Assist with HR/admin tasks like contracting freelancers, processing invoices, and maintaining key records.
- Provide occasional event support for webinars, workshops, or community events.
Person Specification
Essential
- Significant experience as an EA, senior PA, or chief of staff, ideally in a non-profit, social enterprise, or fast-paced creative environment.
- Excellent organisational and multitasking skills; thrives under pressure.
- Outstanding written and verbal communication, with strong attention to detail.
- Tech-savvy: able to manage digital tools (Zoom, Asana, Canva, Google Workspace, MS Office).
- Confident working independently and taking initiative.
- Strong discretion and judgement handling confidential matters.
Desirable
- Experience working in the charity, social enterprise, or community sector.
- Familiarity with funding applications and reporting processes.
- Understanding of CRM systems (e.g., GoHighLevel, Salesforce).
- Enthusiasm for social impact, youth empowerment, and creative industries.
