Job description

Job Title: Project Coordinator

Location: Edinburgh (Site-Based, Monday to Friday, 8:00 AM – 4:00 PM)

Sector: Facilities Management

We are working with a leading facilities management company to find a Project Coordinator to join their team in Edinburgh. This is an excellent opportunity for someone with strong organisational and administrative skills to support a busy projects team delivering lifecycle and variations works.

Key Responsibilities:

  • Provide administrative and financial support to Project Managers
  • Prepare documentation including costings, tenders, risk assessments, and compliance paperwork
  • Maintain accurate and audit-ready project files in line with ISO and CDM standards
  • Generate monthly client invoices including material and subcontractor costs
  • Update trackers, SharePoint records, asset lists, and area data sheets
  • Liaise with subcontractors, technical teams, and clients to ensure seamless delivery
  • Assist in the development of annual lifecycle plans and project review meetings
  • Support in the production of financial and management reports

Essential Requirements:

  • Previous experience in a project support, coordination, or administrative role
  • Proficient in Microsoft Office, especially Excel and Word
  • Excellent communication and organisational skills
  • Ability to work independently and as part of a team
  • Full UK driving licence

Desirable Experience:

  • Experience using Microsoft Projects
  • Familiarity with Coupa, SAP, Maximo, or BI Launchpad
  • Contractor or supplier coordination experience
  • Background in FM, construction, or a similar environment
  • IOSH Managing Safely or SMSTS certification
