Key Responsibilities

  • Coordinate all activities relating to the project Document Control process.

  • Maintain accurate and up‑to‑date electronic and hard‑copy records.

  • Manage the issue, receipt and distribution of construction drawings, documents and correspondence.

  • Maintain registers, trackers and databases, ensuring information is accurate and easily accessible.

  • Manage superseded documentation and maintain a clear audit trail of document revisions and distribution.

  • Ensure the latest approved drawings and documents are issued to the relevant site teams, subcontractors and suppliers.

  • Maintain project communication records, including Transmittals, Site Instructions and RFIs.

  • Support the management of plant, equipment and material records, including site deliveries.

  • Generate reports and document exports for review by the project team.

  • Assist with the digitisation and archiving of physical site records.

  • Support general site administration, including site inductions and new starter paperwork.

  • Assist with the collation and maintenance of HSE documentation and weekly returns.

  • Maintain project files and control logs as required.

  • Issue and manage weekly timesheets with input from the site management team.

  • Ensure confidential and sensitive information is handled appropriately and in line with GDPR requirements.

  • Support general office and site administration, maintaining a well‑organised working environment.

Requirements:

  • Previous experience working as a Document Controller within construction.

  • Experience working on major construction, infrastructure, rail or similar projects would be advantageous.

  • Strong IT skills and confidence working with large volumes of information and data.

  • Experience using a Common Data Environment (CDE), such as Aconex, Asite, Viewpoint 4Projects, BIM 360, Conject or Business Collaborator.

  • Good knowledge of Microsoft Office, particularly Excel.

  • Experience using spreadsheets, databases and PDF editing software.

  • Excellent organisational and time‑management skills.

  • A strong eye for detail and the ability to maintain clear, accurate records.

  • The ability to prioritise workloads and meet deadlines in a busy site environment.

  • A flexible and adaptable approach to working, with the ability to respond to changing project requirements.

  • Good problem‑solving skills and the confidence to take initiative when dealing with issues.
