Groundlord Ltd is a modern, forward-thinking tree surgery and vegetation management company working with councils, commercial clients, private estates, and homeowners across Hampshire and beyond. As our business continues to grow, we’re looking for a proactive and digitally-savvy Project Administrator to join our busy Contracting Department.

What You’ll Be Doing

This is a hands-on, fast-paced role where your attention to detail and ability to juggle tasks will help keep the wheels turning behind the scenes. From scheduling crews to keeping digital workflows up to date, you’ll be the go-to person ensuring everything flows smoothly from job order to invoice.

Key responsibilities include:
  • Scheduling and coordinating site works across our teams
  • Managing project information using Excel, digital trackers, and workflow apps
  • Handling client enquiries and updating internal systems in real time
  • Preparing and submitting job packs, RAMS, and site documents
  • Performing compliance checks (TPO/CA) before work starts
  • Liaising with site teams and clients to keep jobs on track
  • Chasing up paperwork and submitting completion evidence
  • Ordering materials and equipment for upcoming jobs
  • Supporting invoicing and reporting tasks as needed
What We’re Looking For

We want someone who’s on it—quick to act, digitally confident, and motivated to stay one step ahead. You don’t need to be an arboriculture expert, but you do need to love structure, multitasking, and problem-solving.

You should have:
  • A proactive mindset and self-motivated attitude
  • Strong organisational skills and attention to detail
  • Confidence using Excel (VLOOKUPs, filters, formatting—bonus if you love spreadsheets!)
  • Familiarity with digital workflow tools, online forms, and cloud storage
  • Good communication skills (written and verbal)
  • The ability to prioritise and stay calm under pressure
  • Experience in contracting, construction, or operations roles (preferred but not essential)
