Overview

As M&E Planning Executive you will coordinate a variety of contracted Meeting and Events. You should demonstrate first class customer service, adaptability and strong attention to detail. Your key responsibility is to ensure all contracted events are coordinated in line with company standards and client contracts, ensuring that all function information is gathered and communicated to the hotel operations team prior to the event.

Responsibilities
  • Deal with all contracted bookings, ensuring final details including delegate numbers, rooming lists and timings are collected from the booker.
  • Arrange and conduct final details meetings/calls with the organizer prior to the event, ensuring requirements are fulfilled professionally and efficiently to produce the function sheet.
  • Update Sales & Catering/Opera with accurate information and ensure revenue is loaded in line with the event contract.
  • Produce function sheets for all events detailing all necessary information.
  • Ensure all rooming list details and requirements are gathered and handed across to the Groups Coordinator.
  • Arrange initial pre-event brief meeting for all clients on day one of their event with hotel operations in attendance.
  • Arrange post-event debriefs for all clients on the last day of their event, including discussion of future requirements/rebooks and completion of the venue verdict feedback form issued by email post-event.
  • Complete daily meeting and event revenue postings.
  • Increase conversion of event rebooks by developing client relationships.
  • Work with the M&E Business Development Manager/Hotel M&E Planning Manager to achieve revenue targets by promoting rebooks and upselling products/services.
  • Identify new sales leads and secure them with guidance from the Sales Manager.
  • Familiarize yourself with sister hotels for cross-selling opportunities and forward/follow up leads.
  • Carry out the company's customer relations policy and communicate hotel services to guests.
  • Maintain high standards of self-presentation at all times.
  • Work in accordance with standard operating procedures for the department.
