Job summary

Derby City Council is seeking an organised administrator to join the Inclusion and School Attendance Service on a fixed-term contract. You will provide day-to-day support, handling enquiries by phone and email, preparing documents and maintaining accurate records in a busy local authority environment.

Responsibilities include inputting case information in council systems, producing letters and reports in Word/Excel, and handling sensitive information with confidentiality.

Qualifications

  • Recent administrative experience in a busy office environment.
  • Experience in a local authority or public sector environment is desirable.
  • Strong written and verbal communication, polite and patient with service users.
  • Able to produce and maintain a range of documents and spreadsheets with MS Office.

Salary: £38,510 - £41,177 a year

Location: Council House and Hybrid

Hours: 37 hours per week

Contract Type: Fixed Term Contract

The Opportunity

A unique opportunity has arisen for an organised and driven person to join our team to provide high-quality support to our Inclusion and School Attendance Service.

What you'll be doing
  • Provide day-to-day administrative support to the team, including handling enquiries by phone and email, preparing documents and maintaining accurate records.
  • Use council systems to input, update and retrieve case information, ensuring data is accurate, timely and handled confidentially.
  • Use Microsoft Office, including Outlook, Word and Excel, to produce letters, reports, spreadsheets and maintain tracking systems.
  • Handle sensitive and confidential information in line with Council policies and procedures.
  • Communicate effectively with colleagues, partners and members of the public, responding politely and professionally to enquiries.
  • Support in implementing and issuing of Attendance and Holiday Penalty Notices and preparation of legal documentation
  • Support in tracking and logging of children missing education
  • Logging of Police Notifications
  • Support in other areas of the service when required

About you

You must have:

  • Recent administrative experience in a busy office environment.
  • Previous experience in an administrative or customer support role, particularly within a local authority or public sector environment, is desirable but not essential
  • Strong written and verbal communication skills and the ability to respond politely and patiently to service users
  • Experience of working with Microsoft Office applications, including Word and Excel, to produce, update and maintain a range of documents and spreadsheets
  • The ability to manage competing priorities and maintain attention to detail.
  • An understanding of the need for confidentiality when dealing with service user information.
  • An ability to learn new IT systems quickly
