Job description

Glendale Creative is looking for a Level 3 Business Administrator Apprentice to support the day-to-day running of our studio. You’ll help keep projects, systems and studio operations organised — managing admin across tools, supporting compliance tasks, coordinating meetings and deliveries, and assisting the team with production and client support.

About Glendale Creative

Glendale Creative is a design-led studio delivering creative work for clients who value craft, detail and strong collaboration. We’re a busy, fast-moving team, and the studio runs best when our projects, people and day-to-day operations are organised, responsive and well supported.

As we grow, we’re strengthening the systems and admin that keep everything running smoothly. We’re looking for a motivated apprentice who enjoys variety, takes ownership, and can stay calm when priorities shift.

The Role

This is more than a general admin role. You’ll be at the heart of the studio — supporting studio planning, project coordination and production, while helping keep our internal systems accurate and up to date.

Working closely with the Studio Director and wider team, you’ll help manage studio operations, support compliance admin, and keep projects moving by tracking requests and actions across tools like Slack, Monday.com and Trello. You’ll also support client and supplier coordination, prepare and proof key documents, and help with the practical logistics that sit behind great creative work.

You’ll complete the Business Administrator Level 3 apprenticeship, with training and support provided alongside your day-to-day role.

Key Responsibilities
Studio Operations
  • Book couriers, package items and confirm deliveries.
  • Studio essentials: liaise with maintenance, cleaning and waste contractors.
  • Working with the Director to manage compliance admin including: ensuring our policies are relevant and up-to-date and communicating these with the wider team. Regularly review and organise studio essentials such as, PAT testing, insurances, phones and IT contracts, compliance training.
  • Answer the main phone and direct calls.
  • Organise client meetings, business lunches, gifts and studio events.
Document & Digital Administration
  • Organise studio projects and client’s requests: Daily review of Slack, Monday.com and Trello daily. Summarise new projects and tasks for the Studio Director.
  • Input jobs and content onto the Glendale project management system (PMS) and save relevant files to the server.
  • Request and prepare quotes, specifications and schedules. Proof and check documents before they leave the studio.
  • Support internal projects such as the website and social media, alongside the Creative Director.
  • Good working knowledge of Work and PowerPoint, and willing to participate in training from the outset to manage advanced client projects within these programs.
Client & Team Support
  • Be the first port of call for coordination queries from the design team.
  • Support production: request supplier quotes, produce quotes for our clients, track schedules, and help with print, packaging, samples and shipping.
  • Help organise photoshoots and events. Assist on site when needed.
  • Research new suppliers, freelancers (copywriters, motion designers, digital printers) and creative references for designers.
  • Build strong relationships with clients and suppliers. Share ideas on projects, admin and studio life.
What We’re Looking For Essential
  • Highly organised and able to juggle multiple tasks in a busy studio environment
  • Calm and adaptable when priorities change
  • Clear, friendly and professional communication (phone and written)
  • Strong attention to detail — accuracy matters
  • Digitally confident and quick to learn new tools and systems
  • A proactive team player who asks questions, shares ideas and takes ownership
  • An interest in the design/creative industry
What You’ll Gain
