Job summary

Inclusion School Basingstoke is seeking an Administrator to support the day-to-day operations, ensuring a calm, welcoming environment for learners, families, staff and visitors. You will handle reception duties, record-keeping and frontline communications with care and professionalism.

You will contribute to safeguarding and GDPR compliance, work as part of the administration team, and help with events, trips and general office tasks across provisions as needed.

Qualifications

  • GCSEs (A*-C/4+) including English and Maths.
  • Experience in school administration is preferred.
  • Understanding of safeguarding and GDPR in a school context.

Responsibilities

  • Follow clear processes to complete routine administrative tasks accurately.
  • Maintain safeguarding and data protection requirements in daily work.
  • Use Microsoft Office 365 for daily admin tasks.
  • Support school trips and events; assist with room set-up and refreshments.
  • Answer telephone and email enquiries and greet visitors professionally.

Your Role

The Administrator role supports the safe, efficient day-to-day operation of the provision through high-quality administrative and front-of-house services. The role contributes to Inclusion Education's commitment to placing wellbeing and mental health at the heart of education ("The Inclusion Way") by helping create calm, welcoming environments for learners, families, staff and visitors. Working as part of the administration team, the postholder ensures routine processes, communication and record-keeping are accurate, timely and compliant with safeguarding and data protection requirements.

Key Responsibilities

Safeguarding & Compliance

  1. Visitor safeguarding checks (ID, SCR updates)
  2. Basic safeguarding logging and confidentiality

Communications & Services

  1. Reception front-of-house service
  2. Lunchtime duties
  3. Telephone and email enquiries
  4. Meet and greet visitors professionally
  5. Oversight of the info / absence mailbox

MIS, Data & Systems Administration

  1. Proficient in Microsoft Office 365
  2. Basic MIS entry (attendance, contacts, incidents)
  3. Basic safeguarding logging and confidentiality
  4. Maintain accurate daily attendance and records

Operational Administration & Logistics

  1. Filing, photocopying, scanning
  2. Ordering and stock checks (stationery/medical/groceries)
  3. First aid room upkeep (training provided)
  4. Daily admin tasks as required

Wider Provision Contribution

  1. Supports school trips and local events
  2. Helps prepare rooms, materials, refreshments

Professional Collaboration & Communication

  1. Works well within a team
  2. Supports staff as required
  3. Maintains positive professional relationships

The successful candidate may be required to work across provisions, ensuring consistent standards and service.
