Job summary

NHS Professionals is seeking a Support Secretary to provide administrative and clerical support to the Pain Management Team at Buckinghamshire Healthcare NHS Trust, based at Stoke Mandeville Hospital. Part-time, 15 hours per week, Mon-Fri with flexible patterns, duration 3 months.

The role involves audio/copy typing of medical correspondence, handling mail, answering calls, and contributing to confidentiality and team support within the Directorate.

Job Title: Support Secretary

Trust: Buckinghamshire Healthcare NHS Trust

Location: Stoke Mandeville Hospital HP21 8AL

Hours: 15 hours per week

Working Pattern: Mon-Fri. Flexible in terms of either x2 7.5hr days or 3x 5hr days etc

Duration: 3 Months

MAIN PURPOSE OF THE POST

To provide administrative and clerical support to the Pain Management Team Secretary.

You Ll learn the following whilst working at the trust:
  1. An in depth understanding of the roles and responsibilities involved in working within the NHS
  2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
  3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.
Key Duties and Responsibilities
  • To support the Pain Management Secretary
  • Collect and distribute all incoming mail.
  • To provide a support Medical SecretarialAdmin Service within the Directorate. To undertake accurate audio/copy typing (including digital) of medical correspondence and general administration for the Consultants and their Teams. This will include highly sensitive and complex medical terminology with a need for confidentiality.
  • In the absence of the Medical Secretary (or as appropriately delegated) to receive and open Consultant/medical staff s mail, to action routine/non-routine and urgent correspondence and drawing the necessary items to the attention of the person concerned.
  • Answers calls without delay, informing caller of department/extension and own name and position, establishes identity of caller and reason for call and transfers call to other members of staff as required.
  • To exercise initiative in dealing with enquiries from patients/relatives, general practitioners and individual departments both on the telephone and in person.
  • Reassuring patients, Carers and relatives, if appropriate, waiting for appointments, test results and commencement of treatment. To take appropriate action where required.
  • To act as part of a departmental Team; thus providing secretarial and administrative services as necessary for colleagues in their absence
  • Photocopying and filing
  • Folding and sending of appointment letters
  • Scanning
  • Telephoning patients to advise of cancellations, appointments etc.
  • To be responsible for any daily housekeeping procedures relating to the running of the secretarial area
You Ll have the following skills/experience:
  • Ability to develop
