Job summary

Buckinghamshire Healthcare NHS Trust is seeking a Support Secretary to join the Pain Management Team at Stoke Mandeville Hospital (HP21 8AL). This 15 hour/week role offers flexible patterns such as 2×7.5 hour days or 3×5 hour days, for a fixed 3-month duration.

You will provide essential administrative and clerical support, including mail handling, typing, phone liaison, appointment letters, and general secretarial duties, while upholding confidentiality and NHS standards.

Responsibilities

  • Collect and distribute all incoming mail.
  • Provide a support Medical SecretarialAdmin Service within the Directorate.
  • Undertake accurate audio/copy typing (including digital) of medical correspondence and general administration for the Consultants and their Teams.
  • Receive and open Consultant/medical staff's mail and action routine/non-routine correspondence.
  • Answer calls, transfer to staff as required.
  • Deal with enquiries from patients/relatives and other departments, arranging appointments and tests.
  • Act as part of a departmental Team and provide secretarial/administrative services.
  • Photocopying and filing and sending appointment letters.
  • Scanning and telephoning patients about cancellations/appointments.
  • Responsible for daily housekeeping procedures of the secretarial area.

Job Title: Support Secretary – Trust: Buckinghamshire Healthcare NHS Trust – Location: Stoke Mandeville Hospital HP21 8AL – Hours: 15 hours per week – Working Pattern: Mon‑Fri, flexible in terms of either 2 × 7.5hr days or 3 × 5hr days etc – Duration: 3 months

MAIN PURPOSE OF THE POST: To provide administrative and clerical support to the Pain Management Team Secretary. You'll learn the following whilst working at the trust:

  • An in depth understanding of the roles and responsibilities involved in working within the NHS
  • Knowledge of the systems used, to effectively complete your role to the highest standard at all times
  • A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
Key Duties and Responsibilities
  • To support the Pain Management Secretary: Collect and distribute all incoming mail.
  • To provide a support Medical SecretarialAdmin Service within the Directorate.
  • To undertake accurate audio/copy typing (including digital) of medical correspondence and general administration for the Consultants and their Teams. This will include highly sensitive and complex medical terminology with a need for confidentiality.
  • In the absence of the Medical Secretary (or as appropriately delegated) to receive and open Consultant/medical staff's mail, to action routine/non-routine and urgent correspondence and drawing the necessary items to the attention of the person concerned.
  • Answers calls without delay, informing caller of department/extension and own name and position, establishes identity of caller and reason for call and transfers call to other members of staff as required.
  • To exercise initiative in dealing with enquiries from patients/relatives, general practitioners and individual departments both on the telephone and in person. Reassuring patients, Carers and relatives, if appropriate, waiting for appointments, test results and commencement of treatment.
  • To take appropriate action where required.
  • To act as part of a departmental Team; thus providing secretarial and administrative services as necessary for colleagues in their absence.
  • Photocopying and filing.
  • Folding and sending of appointment letters.
  • Scanning.
  • Telephoning patients to advise of cancellations, appointments etc.
  • To be responsible for any daily housekeeping procedures relating to the running of the secretarial area.
