Rivercell seeks an Office Manager to run day-to-day operations and support a growing team. You will be the go-to person for the office, culture, HR processes, and events, collaborating closely with the COO to implement scalable setups.
You will organize facilities, purchasing, onboarding, payroll coordination, and board/event logistics, while shaping our culture and ensuring smooth operations as the company expands.
We are looking for an Office Manager to make Rivercell run smoothly day to day as grow the team.
You will be the go-to person for everything that keeps the company and its people working well: our office, our team moments and our HR processes. You will also be a driving force in shaping our company culture and making sure it carries through every stage of our growth, from each new joiner's first day to our team rituals.
You will work hand-in-hand with our COO, own your scope end to end, and set up the processes and tools a fast-growing team needs.
Run our office day to day: facilities, suppliers, maintenance, IT equipment and access
Manage purchasing and ordering of office and lab supplies, in coordination with the lab team for their specific needs
Track the related spend and keep order and invoice flows clean for our FP&A Manager
Help complete our installation in our new premises and adapt the space as the team grows
Organise our team offsites, seminars and company events
Help define our culture and values, and make sure they carry through the company at every stage of our growth
Handle the logistics of our board meetings and investor visits: scheduling, venues, travel and on-site organisation
Run onboarding and offboarding: paperwork, equipment, access, welcome and induction
Manage absence and leave tracking, and prepare the monthly payroll inputs with our external payroll provider
Maintain employee records and our HR tools
Support hiring logistics: interview scheduling and candidate experience
Manage our management on-site agenda: meetings, visitors, room bookings and logistics
Organise business travels and prepare the practical side of key meetings

You have 2 to 5 years of experience in office management, HR operations, executive assistance or general operations, ideally in a startup or a fast-growing companyYou are highly organised, reliable and detail-oriented, and are able to handle several topics at once You are proactive: you spot what needs fixing and fix it without being askedYou are at ease with people at every level, from new joiners to board members and investors, and you handle confidential information with discretionYou are comfortable with digital tools and like to automate and simplify processesYou have excellent communication skills and are fluent in French and EnglishPrevious exposure to a scientific or lab environment is a plus
