  • Exceptional organizational and planning skills with keen attention to detail.

  • Visa and Work Permit Management: Provide visibility on visa/work permit types to support visits and short-term/long-term assignments.
  • Support and Advisory: Provide guidance on visa-related queries throughout the application process.
  • Process Streamlining: Create and maintain detailed checklists for visa and work permit requirements.
  • Quality Assurance: Oversee the accuracy and completeness of visa/work permit submissions.
  • Keep alignment: Track and report visa application statuses to stakeholders.
  • Coordination: Act as primary coordinator for visa/work permit applications from China and Japan to France, liaising with immigration partners.

We are looking for an HR & Admin Assistant with exceptional organizational skills and a methodical approach to tasks. The ideal candidate is self-motivated and detail-oriented and maintains structured workflows. This role involves significant responsibility in managing visa procedures for Vendors and our own employees on Short-Term or Long-Term Assignments (STAs) , ensuring a smooth and compliant journey for international projects.

The position is based in Douai, France.

Key Responsibilities:
  • Visa and Work Permit Management: Provide comprehensive visibility on various visa and work permit types to support business visits and short-term & long-term assignments to UK.
  • Support and Advisory: Provide comprehensive support on visa-related queries, offering clear and informative answers to assist employees throughout the visa application process.
  • Process Streamlining: Create and maintain detailed checklists for all visa and work permit application requirements to ensure completeness and compliance.
  • Quality Assurance: Oversee the quality and successful submission of visa and work permit applications, verifying the accuracy and completeness of all documents.
  • Keep alignment: Track and report on visa application statuses, keeping all stakeholders informed of progress and any issues that arise.
  • Coordination: Act as the primary coordinator for all visa and work permit applications from China and Japan to the FR, ensuring timely and successful processing. Liaise with external partners, including immigration lawyers, to facilitate the efficient processing of visa applications.
Qualifications:
  • Currently enrolled bachelor or master students from all disciplines are welcome to apply, with a preference for those majoring in Human Resources, Administration, or Management.
  • Fluency in French, English and Chinese is required.
  • Previous experience in visa coordination or related fields is highly preferred.
  • Ability to work independently and with high self-motivation.
  • Exceptional organizational and planning skills, with a keen eye for detail.

Preferred start in August, 2026. This position is preferred on a 6-month contract basis, with the possibility for further opportunities based on performance and organizational needs.
