About the role :

As an Administrative Assistant based in our Barcelona Office, you will join a dynamic, international team supporting the Front Office (Underwriting Department). Reporting to the Financial Lines Administrative Centre Manager, you will perform administrative tasks and support business development goals, helping to build profitable relationships with brokers and insureds in alignment with company standards.

Key Responsibilities :

• Arranging business trips through our external travel agency
• Preparing and submitting employees’ expense reports
• Occasionally covering reception duties
• Assisting underwriters with :
• Entering insurance policy details into the administrative system
• Reviewing and manually preparing invoices, following up on overdue or incorrect payments
• Creating and maintaining client folders
• Keeping the policy administrative system updated
• Ensuring legal and compliance requirements are met in documentation and systems
• Participating in process optimization efforts
• Handling diverse cognitive tasks in a time-sensitive environment
• Managing multiple policy systems and databases
• Learning and accurately following procedures

Skills and Competencies Required :

• Experience in an administrative role
• Degree related to administration
• Fluent in English, Spanish, and Italian
• Expert-level skills in Word and Excel
• Good PC and internet research skills
