Job summary

EA SPORTS Madrid studio is seeking a part-time Production Coordinator (20 hours/week, on-site with hybrid work model) to serve as the operational hub for development teams. You will support studio operations, team administration, and game production workflows while collaborating across multiple projects and daily activities.

Qualifications

• Background in an administrative, coordinator, or operations role within a creative or technical environment.
• On-site presence in Madrid for a 20-hour week.
• Proficiency with Outlook and Google Workspace.
• Ability to work across varied project needs as studio development progresses.
• Experience organizing team events and handling international courier shipping and basic expenses.
• Fluency in Spanish and English for local/global coordination.
• Discretion with confidential studio information.

Responsibilities

• Shipping, Logistics & Swag Distribution.
• Coordinate domestic and international shipments; prepare invoices and customs docs; track shipments.
• Manage swag and merchandise sourcing, inventory, packing and distribution.
• Mail & Package Intake: coordinate deliveries and route production equipment.
• Event Planning & Studio Culture: plan, budget, organize internal events and celebrations.
• Meeting Logistics & Catering: organize meetings, catering, and bookings.
• Team Culture: collaborate on branding, recognitions, wellness events.
• Procurement & Expense Coordination: create POs, track SOWs, process invoices, vendor setup.
• Corporate Card & Expense Reconciliation: reconcile expenses and guide teammates on tools/policies.
• Supply Inventory: maintain stock of supplies and materials.
• Travel itineraries & visas: coordinate travel and visa needs.
• Documentation & Knowledge Sharing: maintain guides and lists.
• IT Escalation & Support: assist with IT tickets and equipment setup.
