Job summary

Vall d’Hebron Institute of Research (VHIR) is seeking a Finance Administrator to join the Economic Management Unit, Expenditure Department, in Barcelona. You will manage expenditure transactions, process invoices and reimbursements, and liaise with research staff to ensure accurate financial records.

The role requires coordination with researchers and internal/external stakeholders, handling high workload periods, and ensuring compliance with the collective agreement.

Qualifications

• Advanced vocational qualification in administration or finance.
• Proficiency in Catalan, Spanish and English.
• At least two years’ experience in an administrative role.
• Basic knowledge of clinical trial billing and accounting.
• Ability to manage high workload and communicate proactively with the team.

Responsibilities

• Support expenditure management and processing of expenditure transactions, including matching invoices to purchase orders and expense claims.
• Assist researchers in managing and monitoring their accounts with accurate records and supporting documentation.
• Maintain regular communication with researchers, coordinators and other stakeholders to respond to queries and ensure smooth expenditure processes.
• Monitor outstanding invoices and other expenditure tasks, resolving discrepancies and supporting management during peak workload.
