IOM in Madrid seeks a Procurement Support role to assist quotations, manage service agreements, and ensure timely delivery of goods and services in line with policy. You will also help with warehouse/NFI management, inventory control, and documentation, contributing to efficient mission operations.

Job purpose: This role supports the mission's procurement activities, ensuring compliance with IOM's policies and procedures for acquiring goods and services. The position involves managing quotation requests, service agreements, and the delivery of procured items. It contributes to the efficient operational support of the mission by facilitating market research, handling urgent small purchases, and maintaining accurate records of transactions. The role also plays a part in managing warehouse inventory and distributing non-food items, ensuring timely delivery and proper documentation. By supporting these logistical and procurement functions, the role directly contributes to the mission's ability to effectively manage resources and respond to operational needs, upholding the organization's commitment to humanitarian principles and the well-being of migrants.
Responsibilities: Procurement Support: Assist with procurement activities including requesting quotations, managing service agreements, and overseeing the delivery of goods and services in line with IOM policies. Ensure adherence to administrative procedures for order tracking, bidding, evaluation, and placement. Conduct market research and execute small purchases for urgent needs. Coordinate with relevant staff on requisitions and track deliveries, verifying terms and specifications. Prepare documentation for payments and liaise with Finance for processing. Maintain updated transaction records and an organized filing system. Report potential issues and suggest improvements to the Procurement and Logistics Officer. Warehouse and NFI Management: Support the management and distribution of goods and non-food items (NFIs). Prepare transfer and delivery documents according to IOM procedures. Maintain updated inventory records for goods, NFIs, and fixed assets. Comply with IOM administrative standards for stock control. Report inventory and distribution issues and propose enhancements to the Procurement and Logistics Officer. Perform other related duties as assigned.
Education: A university degree in Business Administration or a related field with three years of relevant experience, OR a secondary education diploma with five years of relevant professional experience.
Work experience: Relevant professional experience in logistics, procurement, warehousing, supply chain, or operational support in humanitarian settings is required. A valid Spanish driving license for passenger cars is necessary. Familiarity with UN policies and regulations is beneficial. Previous experience in highly regulated environments is a plus.
Skills: Proficiency in Microsoft Office Suite and office software packages. Proactive problem-solving abilities. Fluency in Spanish and English is mandatory.
