Job purpose: This role supports the Finance and Administration Assistant position within the International Organization for Migration (IOM). The purpose is to assist in the financial resource management by tracking and controlling assets, funds, and supplies in accordance with IOM regulations. The role contributes to the efficient operation of financial and administrative processes, ensuring compliance with accounting, budgetary, and financial standards. It involves data entry, payment verification, vendor management, and supporting staff with financial-related queries, ultimately contributing to the organization's mission of managing migration effectively and upholding the dignity of migrants.
Responsibilities: Assist in managing financial resources through tracking and controlling assets, funds, and supplies according to IOM rules and regulations. Monitor project budgets, including estimating costs for personnel, services, equipment, and operational expenses. Extract and input data from various sources into financial or accounting systems. Support the correct application of accounting, budgetary, and financial procedures. Review all payment types, from purchases to payment requests, ensuring proper authorization and attached supporting documents. Create new vendor accounts in ORACLE WAVE and verify the accuracy and conformity of vendor statements with IOM financial policies. Conduct claim verifications against documentation to ensure purchases/services are authorized and goods/services were rendered. Assist in preparing budget, accounting, financial, statistical, and other reports. Provide assistance to staff for travel, expense claims, and document retrieval. Ensure the proper and systematic processing of all recorded payments and accounting documents.
Education: Requires a university degree in Business Administration or a related field with one year of relevant professional experience, OR a High School diploma with at least three years of relevant professional experience.
Work experience: Experience in a similar role is required. Experience working in international organizations, NGOs, or governmental institutions in a multicultural setting is advantageous. Knowledge and experience using ORACLE (WAVE) is a plus. Immediate availability and experience in emergency response settings are highly valued.
Skills: Proficiency in Microsoft Office Suite and office software packages, including ORACLE. Demonstrated ability to draft clear and concise correspondence in English and Spanish. Ability to work well under pressure and meet deadlines. Familiarity with Excel, Word, and aptitude for learning new software.
