Job purpose: This role supports the International Organization for Migration (IOM) in its mission to manage migration effectively and humanely. Responsibilities: Key responsibilities include preparing periodic and specific project activity reports for donors, the mission, regional office, or headquarters. This involves guiding data collection and monitoring project indicators in coordination with the Information Management Coordinator. The role requires coordinating with program staff to ensure constant monitoring of implementation, adherence to grant agreements, and project documentation. It also involves supporting visibility activities within projects. Maintaining a centralized, organized, accessible, and secure filing system for digital and physical records, including beneficiary information, projects, databases, contracts, and other relevant documentation, is crucial. The position assists in integrating and coordinating Monitoring and Evaluation (M&E) frameworks and tools. It supports supervision for specific project components, identifying issues and proposing corrective actions for timely delivery and efficient resource utilization. The role involves researching, drafting, and preparing necessary project execution and reporting documentation, and assisting in coordination with competent authorities, UN agencies, NGOs, and other relevant actors. Maintaining accurate and up-to-date records of all correspondence, technical and administrative documentation, and project-related reports and archives is also a key duty.
Education: A completed university degree in Political or Social Sciences, Business Administration, International Relations, Communications, Law, or a related field from an accredited academic institution is required. Five years of relevant professional experience in report preparation activities is also necessary.
Work experience: Progressive experience in similar functions is required. Experience working in international organizations, NGOs, or governmental institutions, preferably in multicultural environments, is desirable. Experience in coordination and communication with governmental and diplomatic authorities, as well as international institutions, is also valued.
Skills: Proficiency in Microsoft Office Suite and management software, including Oracle. Demonstrated ability to draft clear and concise correspondence in English. Ability to work under pressure and meet deadlines. Excellent skills in preparing statistical charts, tables, and reports. Fluency in Spanish and English is required; knowledge of French and/or other languages is a plus.
