Responsibilities

• 1) Project Planning and Progress Tracking: Develop, maintain and update the integrated project plan; track milestones; consolidate progress; identify deviations; escalate risks.
• 2) Governance, Meetings and Facilitation: Organise and facilitate governance meetings; prepare agendas; document decisions; distribute minutes; follow up on actions.
• 3) Project Reporting and Management Communication: Prepare status reports and presentations; support Steering Committees; develop KPI dashboards; consolidate metrics.
• 4) Risk, Issue and Action Management: Maintain risk/issue registers; document escalations; coordinate mitigation with SPOCs; track actions to resolution.
• 5) Stakeholder and Interface Coordination: Coordinate SAP/Windchill interface teams and other stakeholders; organize workshops; manage interface dependencies.

Project Environment: SAP, PTC Windchill, Enterprise Integration and Interface Management

We are seeking an experienced PMO Consultant to support the internal project leadership team in the organisational management, coordination and governance of the SAP/Windchill Interface Task Force.

The successful candidate will be responsible for integrated project planning, progress tracking, stakeholder coordination, governance meetings, management reporting, and risk and issue management across multiple cross-functional teams.

The role requires strong organisational, analytical and communication skills, with the ability to coordinate international IT teams, maintain project transparency and provide reliable management information to support timely decision-making.

1. Project Planning and Progress Tracking

• Develop, maintain and continuously update the integrated project plan.
• Track project milestones, deliverables, dependencies and critical activities.
• Consolidate progress updates from all participating teams and workstreams.
• Identify schedule deviations, delivery risks and potential delays, escalating them to project leadership.
• Maintain project trackers and provide transparent visibility of overall delivery progress.

2. Governance, Meetings and Facilitation

• Organise and facilitate regular project meetings, governance meetings and workshops.
• Prepare meeting agendas in coordination with project leadership.
• Document key discussions, decisions, risks, issues and action items.
• Prepare and distribute meeting minutes and maintain action and open-item registers.
• Follow up with stakeholders to ensure agreed actions are completed on time.

3. Project Reporting and Management Communication

• Prepare weekly and monthly project status reports and management presentations.
• Support Steering Committee meetings and executive reporting.
• Develop executive summaries, KPI dashboards and decision-support materials.
• Consolidate project metrics and status updates across participating workstreams.
• Maintain clear reporting on project progress, milestones, risks, issues and dependencies.

4. Risk, Issue and Action Management

• Maintain and regularly update the project Risk Register and Issue Log.
• Record emerging risks, issues, dependencies and escalation topics.
• Coordinate mitigation activities with designated internal Single Points of Contact (SPOCs).
• Track actions through to resolution and report overdue or critical items.
• Ensure risks,issuesandescalations are clearly documented and visible to projectleadership.

5. Stakeholder and Interface Coordination

• Coordinate communication and information flow between SAP, Windchill, Middleware, Business and Service teams.
• Work closely with designated internal SPOCs and cross-functional stakeholders.
• Organise cross-functional workshops, alignment sessions and project meetings.
• Maintain an overview of interface dependencies, stakeholder responsibilities and outstanding topics.
• Ensure consistent communication and timely escalation of project updates.

Required Skills

• Minimum 5 years of experience in PMO, project management or programme management within complex international IT environments.
• Proven experience in cross-functional stakeholder coordination and project governance.
• Experience supporting governance boards, Steering Committees and executive-level reporting.
• Strong project planning, progress tracking, meeting facilitation and reporting skills.
• Experience in risk, issue, dependency and action management.
• Excellent written and spoken English.
• Working proficiency in German.
• Advanced proficiency in Microsoft 365, Microsoft Teams, Excel, PowerPoint and project planning tools.
• Strong organisational, analytical, communication and problem-solving skills.

Preferred Skills

• Experience supporting IT programmes, transformation initiatives or global modernisation projects.
• Familiarity with SAP and Product Lifecycle Management (PLM) systems.
• Experience with PTC Windchill and SAP/Windchill interface or integration projects.
• Understanding of enterprise integration, middleware and interface dependencies.
• Experience in manufacturing, industrial or engineering environments.
• Strong background in project governance and management reporting.
