An established international data centre services organisation is seeking a PMO Administrator to join its operations team in Frankfurt.
Working alongside the PMO and operational management teams, you will provide coordination and administrative support across project delivery and business-as-usual activities. The role will cover project documentation, reporting, systems administration, scheduling, stakeholder coordination, and general operational support.
This is a varied position suited to someone who is highly organised, detail-oriented and comfortable working across multiple projects and priorities.
Key Responsibilities
- Support management teams with internal reporting, ensuring data is accurate and delivered within agreed deadlines.
- Assist with maintaining and monitoring BAU project schedules.
- Track project hours, budgets and expenditure.
- Support customer invoicing and project administration.
- Maintain project records, documentation and timesheets.
- Coordinate training and other administrative requirements.
- Support purchase order processing, bids and tender activities.
- Maintain document structures, permissions and records within SharePoint.
- Provide administrative support across CRM and business management systems.
- Ensure health & safety documentation, project records and training information remain up to date.
- Record meeting minutes and track actions through to completion.
- Communicate with internal and external stakeholders to support project requirements.
- Assist with identifying opportunities to improve processes, efficiency and operational performance.
- Maintain confidentiality and comply with data protection and information security requirements.
Requirements
- Previous experience supporting project delivery, PMO, operations, bids or tenders.
- Experience with document management and project administration.
- Fluent German and English, both written and spoken.
- Strong organisational and time-management skills.
- Excellent attention to detail with strong literacy and numeracy skills.
- Strong analytical and problem-solving abilities.
- Excellent communication and customer-service skills.
- Ability to manage multiple priorities in a busy environment.
- Comfortable working under pressure and meeting deadlines.
- Strong Microsoft 365 skills, particularly Excel, Word and PowerPoint.
- Experience using CRM or business management systems.
- Ability to work collaboratively with project and operational teams.
- Experience with SharePoint.
- Experience with Procore or similar project/document management platforms.
- Experience with Salesforce or comparable CRM systems.
- Experience within construction, engineering, data centres or another project-based environment.
- Knowledge of project scheduling, cost tracking or invoicing processes.
