Job summary

Skala is seeking a highly organized Sales Administrator to ensure seamless order management, on-time deliveries, and an outstanding customer experience. This role is 100% remote and requires strong Excel skills and professional English.

You will coordinate with customers, production, and suppliers to manage the full order-to-cash process, keep accurate records, and ensure billing and shipping documentation are complete. A high school diploma is expected; a bachelor’s degree is a plus.

Qualifications

• Experience in Sales Administration, Order Management or Customer Service is a plus.
• Mandatory English proficiency at B2 level or above.
• Advanced proficiency in Microsoft Excel and MS Office.

Responsibilities

• Coordinate with customers, production teams and suppliers to ensure timely equipment deliveries.
• Manage the entire order fulfillment process from purchase orders to shipping coordination and delivery follow-up.
• Maintain accurate order records and ensure billing, shipping and special customer requirements are documented.
• Coordinate with purchasing, inventory, production, billing and logistics for smooth operations.
• Keep customers informed about order status, timelines, invoices and shipping documentation.
• Follow up on customer payments, deposits and outstanding balances in line with payment terms.
• Coordinate inspections, certifications and import/export documentation as needed.
• Confirm successful delivery and ensure customer satisfaction.
