The Property Maintenance Supervisor will oversee maintenance personnel, manage the work-order workflow, prioritize urgent requests, and ensure maintenance work is completed efficiently, properly, and on time. This role requires a hands-on leader who can keep the team organized, monitor performance, and proactively address issues as they arise.

The ideal candidate is a strong communicator and problem-solver who can manage multiple priorities, make sound decisions, and work independently in a fast-paced property management environment. Fluency in both English and Spanish is required, as the role involves communicating with Spanish-speaking maintenance personnel, tenants, vendors, and/or contractors.

Key Responsibilities:
  • Supervise and lead the day-to-day activities of the property maintenance team, including monitoring performance and workload.
  • Manage the scheduling and assignment of work orders to the maintenance team, ensuring priorities are addressed and jobs are completed in a timely manner.
  • Manage and monitor maintenance requests and work orders through AppFolio, from initial assignment through completion.
  • Review and prioritize incoming property maintenance requests, including urgent and emergency issues.
  • Follow up on open, delayed, or incomplete work orders and take appropriate action to keep them moving toward completion.
  • Monitor the quality of completed maintenance work and ensure issues are resolved to the expected standard.
  • Communicate with property management staff, tenants, contractors, and vendors regarding maintenance requests, scheduling, and job status.
  • Coordinate outside vendors and contractors when specialized work is required.
  • Identify recurring property maintenance issues and recommend appropriate solutions or preventive measures.
  • Maintain accurate records and updates for work orders, repairs, and maintenance activities within AppFolio.
  • Ensure completed work orders are properly documented and closed out.
  • Take ownership of complex, urgent, or unresolved maintenance issues, coordinating appropriate solutions and escalating matters when management input or approval is required.
  • Identify opportunities to improve maintenance processes, workflows, and team efficiency.
  • Hold maintenance personnel accountable for completing assigned work accurately and within expected timelines.
Required Skills & Qualifications:
  • Fluency in both English and Spanish is required, with the ability to communicate effectively in both languages verbally and in writing.
  • Previous experience as a Property Maintenance Supervisor, Maintenance Supervisor, Maintenance Coordinator, Facilities Supervisor, or in a similar role.
  • Experience supervising maintenance personnel and leading maintenance teams, including assigning tasks, managing workloads, and monitoring performance.
  • Strong experience managing maintenance requests and work orders from assignment through completion.
  • Proficiency in AppFolio or similar property management software, particularly for managing maintenance requests, work orders, scheduling, and related documentation. AppFolio experience is strongly preferred.
  • Strong organizational, time-management, and prioritization skills, with the ability to manage multiple work orders and urgent requests simultaneously.
  • Strong problem-solving and decision-making skills, with the ability to independently assess issues and determine appropriate next steps.
  • Excellent communication and follow-up skills, with the ability to coordinate effectively with maintenance staff, property management, tenants, vendors, and contractors.
  • Strong attention to detail and a high level of accountability and ownership.
  • General knowledge of property maintenance, repairs, and building systems is a plus.
