• Facilitate Agent Onboarding: Manage each agent's onboarding experience from application submission through final approval; review all required documentation for accuracy and compliance.
• Provide Exceptional Agent Support: Serve as the primary point of contact for agents during onboarding; respond to questions about status, transfers, Board/MLS membership, and ROA systems.
• Manage License Transfer Processes: Oversee state-specific license transfers and maintain standardized onboarding workflows; prepare and distribute updated communications and resources.
• Collaborate with Internal Stakeholders: Partner with the Broker Team and other departments to understand licensing requirements and ROA policies.
• Ensure Compliance: Verify onboarding documentation and licensing requirements are met before approving agent affiliation; maintain accurate records.

Job Summary:

As an Agent Onboarding Specialist, you will play a key role in creating a seamless and positive onboarding experience for real estate agents joining Realty of America (ROA). As one of the first points of contact for new agents, you will welcome them to the organization, answer questions, explain ROA's programs, tools, and resources, and guide them through every step of the application and onboarding process.

This role requires exceptional organization, attention to detail, and a customer-first mindset. You will manage the onboarding process from start to finish, ensuring all required documentation, licensing, compliance, and administrative tasks are completed accurately and on time. Working closely with internal departments, state brokers, and support teams, you will help ensure every new agent is successfully onboarded and equipped to launch their business with confidence.

Duties/Responsibilities:

• Facilitate Agent Onboarding: Manage each agent's onboarding experience from application submission through final approval. Coordinate license transfers in partnership with the Broker Team, review all required documentation for accuracy and compliance, approve completed applications, and ensure agents are fully set up to begin conducting business with Realty of America (ROA).
• Provide Exceptional Agent Support: Serve as the primary point of contact for agents throughout the onboarding process. Respond promptly to questions regarding application status, license transfers, Board and MLS membership, listing and transaction transfers, and ROA systems, tools, and resources.
• Manage License Transfer Processes: Oversee state-specific license transfer procedures and maintain standardized onboarding workflows. Prepare, update, and distribute approved communications, instructions, and resources to ensure a consistent and efficient onboarding experience.
• Collaborate with Internal Stakeholders: Partner with the Broker Team and other internal departments to understand state licensing requirements, brokerage policies, and operational procedures. Develop clear guidance and documentation that helps agents successfully navigate both ROA's onboarding process and applicable state, Board, and MLS requirements.
• Ensure Compliance: Verify that all onboarding documentation, licensing requirements, and compliance standards are met before approving an agent for affiliation. Maintain accurate records and adhere to company policies and regulatory requirements.
