Responsibilities

  • Maintain and repair warehouse equipment, coordinating third-party repairs as needed.
  • Ensure warehouse spaces, equipment, and materials are clean, organized, and functional.
  • Oversee inventory and consumables using approved software, maintaining accurate records.
  • Create, maintain, and close job files with site details for billing within set timelines.
  • Assist in coordinating work schedules with the Project Management team and crews.
  • Support warehouse staff in handling equipment and temporary labour, including timesheet verification.
  • Enforce safety policies, PPE use, and collaboration with Health and Safety teams.
  • Respond to emergencies within 30 minutes and communicate with homeowners.
  • Identify and implement process improvements to enhance warehouse efficiency.
  • Maintain production and project trackers in real-time for stakeholders.
  • Foster customer satisfaction by safeguarding property and timely progress updates.

Job description

The Warehouse Coordinator is critical in ensuring seamless operations across warehouse management, inventory control, and project logistics. This position is responsible for the maintenance and repair of equipment, organizing and tracking inventory, and ensuring timely delivery of materials to job sites. The Warehouse Coordinator also assists in crew scheduling, arrangements for temporary labor, and emergency response logistics while adhering to legislative and BELFOR requirements.

2. Key Responsibilities:
  • Maintain and repair warehouse equipment, coordinating third-party repairs as needed;
  • Ensure warehouse spaces, equipment, and materials are clean, organized, and functional;
  • Oversee equipment, including tracking and logistics;
  • Oversee inventory and consumables using approved software, maintaining accurate records for tracking and operational reporting;
  • Create, maintain, and close job files with all relevant site details, ensuring timely documentation submission for billing (within three days for standard jobs and 24 hours for emergencies);
  • Assist in coordinating work schedules with the Project Management team, assigning crews, vehicles, and necessary documentation (e.g., work authorizations, job sheets, and scopes of work);
  • Support warehouse staff in handling equipment and manage temporary labour, including uniforms and accurate timesheet verification;
  • Enforce safety policies, ensuring proper PPE use and routine checks, while collaborating with Health and Safety teams on vehicle maintenance, fleet scheduling, and training programs;
  • Respond to emergencies within 30 minutes, contacting homeowners to communicate crew arrival times and the scope of work;
  • Follow up with homeowners, crews, and management to ensure emergency work progresses as planned, scheduling re-attendance if needed;
  • Identify and implement process improvements to enhance warehouse efficiency and job performance;
  • Coordinate with other departments to optimize content handling, storage, and return;
  • Maintain and update production and project trackers in real-time, ensuring accessible and accurate information is available to stakeholders;
  • Assign and manage lock boxes and codes throughout the claim process, ensuring their removal upon project completion;
  • Foster customer satisfaction by safeguarding property, maintaining professionalism, and providing timely communication about job progress and conditions;
  • Ensure a safe and compliant work environment by conducting hazard assessments, maintaining organized and hazard-free job sites, and ensuring proper use, maintenance, and storage of tools, equipment, and PPE. Promptly report and document unsafe conditions or incidents, actively participate in safety training and inspections, and support organizational safety initiatives as directed by the Health and Safety Department; and
  • Any other reasonable duties as assigned.
3. Qualifications:
i. Required:
  • 3+ years of experience in construction, restoration, or a related industry;
  • 1+ years of experience in a leadership role;
  • Strong organizational skills with the ability to prioritize a diversified workload and meet deadlines in a fast-paced environment;
  • Understanding of customer service principles and practices; and
  • Valid driver’s license and ability to operate a motor vehicle per BELFOR’s Auto Policy.
ii. Preferred:
  • Proficiency with Google Suite and Microsoft Office Suite;
  • Excellent written and verbal communication skills with a high level of professionalism;
  • Experience with Workers Compensation Board compliance and industry-specific financial management tools;
  • IICRC certification(s); and
  • Proficiency with JD Edwards, Xactimate and Xactanalysis.
iii. Job-Specific Training Provided:
  • Comprehensive training of BELFOR internal processes, procedures and systems; and
  • Other BELFOR-sponsored training courses as required

4. Working Conditions:
  • Sustained physical activity, including standing, walking, bending, kneeling;
  • Perform tasks requiring mobility in tight or confined spaces, sustained physical activity (standing, lifting, walking, bending, kneeling), and working at heights over 5 feet as needed;
  • Use of personal protective equipment, including full and half-mask respirators, with proper fit testing; and
  • Periodic travel to other locations or client sites may be required to support operational needs.
