Job summary

Hyatt Regency Vancouver is seeking a dynamic and organized professional to join the Events Team as an Event Sales Coordinator for a three-month temporary term. This role supports the successful delivery of high-quality meetings and events while creating exceptional experience for clients and guests.

The position involves assisting with contract negotiations, coordinating banquet food, beverage and setup, and ensuring seamless service from planning through post-event follow-up.

Qualifications

• Degree in Hospitality or a related field, or equivalent experience, preferred
• Previous hotel experience is preferred
• Event planning experience is considered an asset
• Must be available to work various shifts to accommodate business demands, including occasional early mornings, evenings, and/or weekends
• Excellent written and verbal communication skills, with strong interpersonal abilities
• Knowledge of a second language is an asset
• Proven ability to prioritize projects, manage multiple tasks and meet deadlines
• Proficiency in Microsoft Office and general computer office systems is required
• Highly organized, detail-oriented and committed to delivering exceptional customer service
• Must be friendly, passionate, professional and collaborative team player

Responsibilities

• Deliver seamless event service from initial planning through post-event follow-up.
• Support Event Sales Managers with contract negotiations, client inquiries and account servicing.
• Coordinate banquet food, beverage and event setup requirements to ensure flawless execution.
• Translate client needs into detailed menus, agendas and hotel meeting service plans.
• Arrange hospitality amenities, special VIP requests and small bookings with precision and care.
• Review event contracts and ensure all requirements are accurately communicated to the appropriate hotel teams.
• Coordinate communication before, during and after each event to maintain a consistently high level of service.
• Support and host site inspections that showcase the hotel’s event capabilities.
• Participate in and lead event meetings and internal meetings, ensuring clear updates, alignment and follow-through.
