Job summary

Strata Engineering Inc. in Burnaby, BC is seeking a Proposal Coordinator as an expression of interest, responsible for managing the full lifecycle of proposal development and coordinating with technical staff, project managers, and leadership.

You will craft compliant, persuasive responses to RFPs/RFQs, maintain a library of standard content, and track outcomes in the CRM to drive continuous improvement. This is a full-time role with a focus on accuracy and timely delivery.

Qualifications

• Must be legally entitled to work in Canada; no sponsorship for this position.
• Bachelor's degree in Engineering, Marketing, Communications, or demonstrated experience.
• 2+ years of demonstrated experience in proposal coordination in a fast-paced environment, preferably in consulting.
• Ability to manage multiple deadlines and work under pressure.
• Strong writing, editing, and proofreading skills.
• Proficiency in Microsoft Office Suite and Adobe Creative.
• Experience with managing and updating a CRM is considered an asset.
• Experience with BQE Core is considered an asset.

Responsibilities

• Lead the coordination, development, and submission of proposals and qualification packages.
• Analyze RFP/RFQ requirements and develop compliance matrices and response outlines.
• Collaborate with technical staff, project managers, and leadership to gather content and ensure accuracy.
• Support in following up with clients’ post-submission and responding to any questions.
• Write, edit, and format proposal content, including executive summaries, project descriptions, resumes, and firm qualifications.
• Maintain and update a library of standard proposal content, templates, and graphics.
• Ensure proposals are compliant, well-written, visually appealing and submitted on time.
• Conduct final reviews for grammar, formatting, and consistency.
• Facilitate proposal kickoff meetings and regular check ins.
• Communicate deadlines, responsibilities, and expectations clearly to all contributors.
• Support marketing and business development initiatives as required.
• Track proposal outcomes and maintain records in company CRM.
• Analyze win/loss data to identify trends and areas for improvement.
